Regenerate PDF or resend the step email

Learn how to regenerate PDFs and resend step emails in Performance Leader's Review Admin Dashboard. Step-by-step guide for managing review notifications and PDFs for individual users and bulk updates.

This guide walks you through regenerating PDFs and resending step emails from the Review Admin Dashboard—whether you need to help one person or update an entire cohort. You'll learn how to access the right tools for individual users, understand how step actions work dynamically, and use bulk regeneration features efficiently.

When to update PDFs or resend emails.

PDFs are updated whenever a user confirms a step. The PDF is not live by design - it ensures draft comments are not shared.

You might need to regenerate PDFs or resend emails in several common scenarios:

  • A user hasn't received their step email and needs it resent

  • There's been a update to inputs that affects PDF formatting

  • A user has moved back to an earlier step and needs updated communications

  • You've made corrections to review data and need fresh PDFs generated

  • Multiple users need updated PDFs after a data import or bulk change

Both individual and bulk options give you flexibility to respond quickly to user needs whilst maintaining accurate review documentation.

Regenerating PDFs or resending emails for individual users

The Step Action section in the user enrolment screen gives you dynamic options based on where someone is in their review journey. Here's how to access it:

  1. From the Review Admin Dashboard, click Enrolment to view the list of users in your review.

  2. Find the user you want to update and click the pencil icon next to their name.

  3. Scroll down to the Step Action section (located just below the participation status).

  4. The available actions will depend on which step the user is currently on:

    • At the end of Step 1 (or later steps), you can regenerate the PDF or resend the step email

    • At the beginning of Step 1, you can resend the initiation email (no PDF is generated at this stage)

  5. Select the action you need and follow the prompts to complete it.

The Step Action section updates automatically as users progress through the review, so you'll always see the relevant options for their current position.

Regenerating PDFs in bulk

When you need to regenerate PDFs for multiple users at once, the bulk regeneration feature saves time and effort:

  1. From the enrolment list, select the checkboxes next to the users whose PDFs you want to regenerate.

  2. Once you've selected your users, click the Regenerate PDF option that appears.

  3. Review the summary screen that shows which users and reviews will be affected.

  4. Click Generate PDFs to start the background batch job.

  5. The system will display a status indicator whilst the PDFs are being generated.

  6. Once complete, the status bar will clear, confirming that all PDFs have been updated.

The bulk regeneration runs as a background process, so you can continue working on other tasks whilst it completes.

Understanding step actions

The Step Action section is designed to be contextual and helpful. It automatically adjusts based on where each user is in their review:

  • During Step 1: You can resend the initiation email to help users get started

  • After Step 1 completion: You can regenerate the PDF (which captures their completed work) or resend the step email, if an email is available at that step.

  • Throughout the review: The section updates dynamically, always showing you the relevant actions for that specific step

This dynamic approach means you don't need to remember which actions are available at which point—the system guides you to the right option.
