Check-in templates support lightly structured conversations such as one-on-ones, mentoring sessions, and team check-ins. This guide will walk you through reviewing existing templates, updating questions and capabilities, and creating new templates tailored to your firm's needs.
Below is an example of a check-in template
Accessing check-in templates
Finding your way to the templates area is straightforward:
Navigate to Manage Apps from your admin dashboard
Click on Check-ins
Select Configuration and Tools
You'll see all existing check-in templates listed, both active and archived ones
Reordering templates
You have full control over the order in which templates appear to users. This is helpful for prioritising the most commonly used templates:
Simply click and drag a template to move it up or down in the list
Drop it in the desired position
The new order is saved automatically
Reviewing and editing an existing template
To review or make changes to a template:
Click the pencil icon next to the template you want to edit
A dialogue will open showing the template details
Review or update the following elements:
Template name and description
The template name helps users identify which template to use. The description provides context about when and how to use this particular template. Keep descriptions short and instructional—they appear to users when they're selecting a template, so clarity is key.
Template capabilities
Capabilities are the resources that appear in the Resources tab within the check-in. These might include:
Fast Feedback
Objectives
Training Diary
To add or remove capabilities, simply tick or untick the relevant options in the template settings. The selected capabilities will appear in the Resources tab when users are completing their check-ins.
Template questions
Questions form the agenda for the check-in conversation. To manage questions:
Scroll down to the Template questions section
To edit an existing question, click into the text box and make your changes
To add a new question, click Add question at the bottom of the questions list
To reorder questions, use the toggle arrows next to each question
The questions will appear in this order when users complete their check-ins
Once you're happy with your changes, click Update to save.
Creating a new template
When you need a template for a specific type of conversation—such as probation reviews, mentoring sessions, or team check-ins:
Click the plus Add template button
A template dialogue will appear with the following fields:
Template name: Choose a clear, descriptive name
Description: Explain what the template is for and when to use it
Sort order: Optionally set the position (you can also drag and drop later)
Capabilities: Select which resources should be available in this template
Content (questions): Add the questions that will structure the conversation
Click Save when you're finished.
Best practices for check-in templates
To get the most out of your templates:
Keep descriptions clear and purposeful: Help users understand which template to choose for different situations
Focus questions on outcomes: What do you want people to discuss and achieve in this conversation?
Include relevant capabilities: Connect templates to objectives or feedback when it makes sense for the conversation
Review templates regularly: As your firm's needs evolve, update templates to reflect current priorities
Create templates for different contexts: Consider separate templates for one-on-ones, team meetings or mentoring
