Training Diaries supports restricted admin access, so people such as compliance leads, L&D managers, or practice managers can manage a training diary for a defined group of users, without the firm-wide reach of a Super Admin. This guide explains what a restricted Training Diary admin can do and how to set one up.
When to use restricted admin access
Use it when someone needs to manage compliance for a diary — assigning users, monitoring progress, and chasing declarations — but shouldn't have access to the rest of the platform's HR or performance data. Typical examples are compliance officers, training principals, and practice managers.
What a restricted admin can do
Open the Reporting dashboard for the diaries they manage — progress against target or cycle status depending on the diary, a breakdown by learning category, and a per-user table covering activity, evaluations, and declarations
Manage user assignments to jurisdictions, adding and removing users individually or in bulk
Send email campaigns to prompt users to update their diaries or complete their annual declaration, straight from the reporting page's Export & Tools card
Export compliance reports and full entry data
What a restricted admin cannot do
See or manage users outside their assigned scope — the departments, role profiles, and locations set on their account. This scope applies across every module they can access, not only Training Diaries.
Change firm-wide settings reserved for Super Admins
Setting up a restricted admin
As a Super Admin, go to Manage Users and open the user you want to delegate to (click the edit icon on their row).
Set Account Type to Restricted Admin.
Under Restricted Admin Access Control, set the scope — Department, Role Profile, and Location each to All or to Specific values, so the admin only manages the people they're responsible for.
Click Save Changes.
The user will now have admin access limited to the people within that scope — including Training Diary reporting and user management for the diaries those people are assigned to.
Please note: a change of account type only takes effect the next time that person signs in. If they're already logged in, ask them to sign out and back in before checking their new access.
Tips
Scope by Department, Role Profile, and Location so each admin only sees the cohort they're responsible for.
Pair restricted admin access with email campaigns, so compliance leads can chase updates and declarations directly rather than routing through a Super Admin.
