Where are my learner User Defined Forms?

In PICSWeb, the locations of User Defined Forms (UDFs) are customisable, meaning that there is no one location where you can expect to find UDF fields. If you are having trouble finding the relevant UDF fields in your learner records, we recommend the following steps:

1. If you do not know the specified location for the UDF in the learner record, you will need to find it in PICSWeb Configuration. If you have Database Admin permissions you can do this yourself, but if not you will need to ask a PICSWeb administrator to do so for you. In the Configuration section on the side menu, first go to Forms > User Defined Forms to view the full list of UDFs.

2. Next find the relevant form in the list and make a note of the Locations in PICSWeb. For learners, the following locations are available:

  • Details – The Details panel at the left-hand side of the Learner Summary.

  • ILR Programme Start – Episode Start in the ILR Summary.

  • Start Break-in-Learning – The modal window when starting a Break-in-Learning.

  • End Break-in-Learning – The modal window when ending a Break-in-Learning.

  • ILR Programme End – Episode End in the ILR Summary.

  • Private Programme Start

  • Private Programme End

  • Summary Additional Forms – A dedicated Additional Forms tab in the Learner Summary.

  • Programme (ILR/PRaP) Additional Forms – A dedicated Additional Forms tab in the Learner ILR Summary or Learner PRaP Summary.

  • Delivery Plan Additional Forms – A dedicated Additional Forms tab in the Learner Delivery Plan.

3. Any UDF fields in the specified location will be indicated with a pencil-and-ruler icon. If you visit the location and still cannot see any UDF fields, be aware that if no values have been entered against UDF fields, those fields will not be shown. To view the UDF in the learner record, you may need to Edit the appropriate location and enter some values first.
