If a learner has been put onto a Break-in-Learning, but they end up leaving their programme during this break, you will need to ensure that they have been processed correctly in PICSWeb to report the right information to the ESFA.
To do this, you will first need to Cancel the break-in-learning. Rather than ending the break, this undoes the entire break and re-opens any temporarily withdrawn aims.
Go to the ILR Summary for the learner and select Actions > Cancel Break-in-Learning from the top-right corner of the page.
Any UDF fields filled when starting the break will be available to edit in the next window. Select Save to continue.
Now that the learner is no longer withdrawn, you can end their programme as usual. To do this, refresh the ILR Summary and select Actions > End Episode and Aims.
In this window, you can enter the usual end of programme details. The Episode End Date should be set to the date that was originally used as the start of the break in learning. Selecting Save will process the learner as a full withdrawal in PICSWeb and end their programme.
