Sending a review for an external contact to fill and sign

If you are licensed for either Form Capture or PICSWeb Portfolio, it is possible to email a learner review to an external contact, who can then fill out certain fields and provide a digital signature. This is only available if the contact has an email address recorded in PICSWeb and that the only role set for them is Contact.

Before you can send the review out, you will first need to set up the fields that contacts are allowed to fill. To do this, go to the Lists and Types > Reviews > Notes section of configuration.

In here, select ... > Edit by any necessary fields and make sure that Visible and Edit by Contact are switched on.

You will next need to make sure that a Relationship Type has been set up to link the contact to the learner being reviewed. To do this, go to Lists and Types > Relationship Types and set one up with the From Data Type set as Learner and the To Data Type set as Contact.

Finally, you will need to link the learner who is being reviewed to the contact you want to sign the review. To do this, go to the Officers tab in the Learner Summary and add the contact with the Relationship you have just set up.

You can now request a signature by going to the Signatures tab in the relevant Review Summary. Selecting Edit here will open a window where you can set the contact as a Required signature.

After saving, the contact will be emailed with a link to fill in the specified review fields and provide a signature.
