Managing Student Enrollment Pauses

The Enrollment Pause feature allows authorized users to temporarily suspend a student's active enrollment, stopping progress calculations and preventing new training sessions from being logged, while preserving all existing progress and records. This is typically used for planned breaks or when a student must temporarily halt training.

Permissions Required

Only users with the Administrator role or the Manage All Student Enrollments permission can manage enrollment pauses.


1. Pausing an Enrollment

An enrollment must be in the Enrolled status to be paused.

Step-by-Step Instructions

  1. Navigate to the Enrollment: Go to the desired student's profile and open the specific enrollment you wish to pause.

  2. Access the Training Pauses Section: Locate the Training Pauses section within the enrollment details view.

  3. Click "Add Pause": Click the Add Pause button. This will open the Add Training Pause modal.

  4. Review the Informational Banner: Note the blue banner: "Pausing training will pause progress calculations."

  5. Enter Pause Details:

    • Start Date: Defaults to today's date. Adjust if the pause started on a different day.

    • Expected End Date: This field is required. Select the date the student is expected to resume training. If the date is unknown, select the "Unknown" option.

    • Notes: Add any necessary context or reason for the pause (1000 character limit).

    • Pilot Ground (Optional): Click Select or Add Link to optionally associate the pause with a Pilot Ground record (e.g., if the pause is due to a student being temporarily grounded).

  6. Provide PIN Signature (If Required): If configured on the course, enter your 4-Digit PIN in the required field.

  7. Confirm Action: Click the Pause Training button.

Result of Pausing

  • The enrollment status will display as Enrolled: Paused in lists and on the enrollment view.

  • The active pause event will appear in the Training Pauses section with a Training Paused badge.

  • Student progress calculations will stop immediately.

  • The system will prevent the creation of new training sessions for this enrollment.

  • A prominent blue banner will appear on the Student Progress Profile showing the pause status and expected end date.


2. Editing an Active Pause

You can edit the Start Date, Expected End Date, Notes, and Pilot Ground link for an active pause. The End Date can only be set when resuming the enrollment.

Step-by-Step Instructions

  1. Locate Active Pause: In the Training Pauses section, find the pause event marked with the Training Paused badge.

  2. Click Edit: Click the Edit icon (pencil) next to the "End Pause" button.

  3. Make Necessary Changes: Modify the Start Date, Expected End Date, Notes, or Pilot Ground link. The End Date field will be blank and read-only.

  4. Provide PIN Signature (If Required): Enter your 4-Digit PIN.

  5. Save Changes: Click the Save button.

Result of Editing

  • The pause event will display a "Has been modified" indicator with the last modified date.

  • An entry recording the edit will be added to the enrollment history.


3. Resuming (Ending) an Enrollment Pause

Resuming an enrollment is done by setting an End Date on the active pause event.

Step-by-Step Instructions

  1. Locate Active Pause: In the Training Pauses section, find the active pause event.

  2. Click "End Pause": Click the End Pause button. This will open the End Training Pause modal.

  3. Review Informational Banner: Note the blue banner: "Ending a training pause will begin progress calculations."

  4. Enter Resume Details:

    1. End Date: Select the date the student actually resumed training (required).

    2. Notes: Review and edit the notes if necessary.

    3. Paused for X days: The total days paused will be calculated and displayed.

  5. Adjust Expected Completion Dates (Optional):

    1. Use the Adjust Dates Section to optionally extend the student's Expected Graduation Date (for the current course), Expected Completion Date (for the program), and/or other paused enrollments by the duration of the pause.

    2. Check the box next to any date you wish to adjust. The suggested new date will be displayed.

  6. Provide PIN Signature (If Required): Enter your 4-Digit PIN.

  7. Confirm Action: Click the End Pause button.

Result of Resuming

  • The pause event is marked with a Complete badge and displays the calculated Days Paused.

  • The enrollment status reverts to Enrolled.

  • The system immediately triggers a student progress calculation.

  • If selected, the Expected Graduation/Completion dates are updated.

  • The progress profile banner is removed, and progress metrics resume normal display.


4. Filtering and Reporting

Paused enrollments are designed to remain visible and trackable in the system.

Filtering in Lists

  • In the Student List View and other enrollment filters, the Enrollment Status filter includes Enrolled: Paused as a selectable option.

Reporting

  • Paused enrollments are included in all enrollment reports. Reports will contain the new pause-related fields and clearly indicate the pause status.
