Understanding Email Attachments in Pipedrive Automations

Pipedrive offers various features for managing email attachments in automations, but there are specific capabilities and limitations to be aware of. This article provides an overview of what is possible, common issues, and workarounds to help you effectively use email attachments in Pipedrive.

Overview of Email Attachment Capabilities

  • Attachments in Automations: Pipedrive does not support including attachments in emails sent through automations. This means files cannot be dynamically attached to automated emails.

  • Images in Templates: You can include images in automated emails by using an email template. To do this, create a template with embedded images and select it when setting up the automation.

Adding Attachments to Email Templates

While dynamic attachments are not supported, you can attach a standard file to an email template and use it in automations. Here’s how:

  1. Create an email template in Pipedrive.

  2. Attach the default file you want to include in all emails.

  3. Customize the template with merge fields for deal-specific information.

  4. Use the "Send email template" action in your automation and select this template.

Note: This method sends the same attachment for all triggered emails. Deal-specific files cannot be auto-attached.

Limitations of Attachments in Email Automation

  • File Size Limit: Pipedrive enforces a 25 MB total size limit on outgoing emails, including all attachments. If the total size exceeds this limit, the email will fail to send. To resolve this, reduce the size of your attachments by compressing files or removing some attachments.

  • Dynamic Attachments: Files uploaded to individual deals cannot be dynamically attached to automated emails. Only predefined files in templates can be used.

  • External Systems: Automated emails do not forward deal-specific files to external systems like Zendesk. Only predefined fields, such as deal name and contact details, are included.

Troubleshooting Common Issues

Removing Unwanted Attachments from Templates

If an attachment is automatically added to your email templates and you want to remove it, follow these steps:

  1. Click on "Choose template."

  2. Select "Manage templates."

  3. Choose the relevant template.

  4. Locate the attachment and click the "X" to remove it.

  5. Save the changes.

If you encounter errors while removing attachments, try the following:

  • Ensure your browser is updated.

  • Clear your browser cache and cookies.

  • Use an incognito window to perform the actions.

If the issue persists, consider creating a new template instead of modifying the old one.

Resolving Email Sending Failures

If your emails fail to send due to attachment size, test by:

  • Sending the email without attachments.

  • Including a single, smaller attachment.

This can help confirm whether the issue is related to the size of the attachments.

Workarounds and Best Practices

  • Use email templates with standard attachments for automations.

  • Keep attachment sizes below 25 MB to avoid sending failures.

  • For deal-specific files, manually attach them to individual emails instead of relying on automation.

By understanding these capabilities and limitations, you can better manage email attachments in Pipedrive automations and avoid common pitfalls.
