What is group emailing?

Group Emailing is a feature that allows you to send multiple emails at once.

To use the group emailing feature, you need to have:

  • Email sync enabled with a valid email account;

  • Have permission to “Bulk edit items” enabled by a user with account settings access;

Note: Emails sent using the group email feature will be sent as individual threads.

How do I send group emails?

  • The group emailing function is available in the following places in Pipedrive:

  1. The list view of the leads tab

  2. The list view of the deals tab

  3. The list view of the People tab

  4. The list view of the activities tab

  5. The contacts timeline view of the contacts tab

  • Once multiple contacts are selected in any of the places listed above, you can click the “Send group email” button to send a specific email to all selected or linked contacts at once.

  • You can select up to one hundred contacts when group emailing. If you need to email more recipients, you should repeat the process as often as necessary.

  • You will need to provide relevant details about the email being sent to that group of contacts, such as:

  1. Recipients – The contacts chosen before clicking the “Send group email” button will appear in this column. In this area, users can also search for and add additional contacts.

  2. Email templateUsers can select a template to send a previously-constructed email.

  3. Visibility – Emails can be set to appear as visible to other Pipedrive users based on visibility permissions, or set as private.

  • Once you have provided those details, you should click on the “Send Message” button to send those emails.

  • Emails will be sent with a 30-second delay between them, to prevent them from being blocked by your provider.

  • You can use filters before sending a group email, to better select which customers you are looking to send emails to: For example, if you are looking to send a group email only to people you have not yet emailed, you should:

  1. Go to the people list view;

  2. Click the dropdown menu in the top right corner;

  3. Select “Add new filter.”

From there, you have a couple of options for filters and can use the option email messages count > is > zero. This will show only contacts who have never had an email sent to them. As soon as a contact is sent an email, they will be removed from the filtered list.

Group emailing is not working. What should I do?

If your group emailing feature is not working, please follow the steps below:

  1. Make sure the email account is connected properly and there are no connection errors;

  2. Send a single test email to confirm if the issue is with the email sync in general or specific to group emailing;

  3. Make sure to know there will be a 30-second delay between sending each email to prevent them from being blocked by their provider;

  4. Make sure to only send up to 100 emails in each group email;

  5. Filtered lists do not always respond immediately to changes in data, such as emails being sent. If you do not see the contact list changing in accordance with the filter conditions, refresh your browser and allow some time to process. If this persists, clear the browser cache;

  6. Try to “resend”/restart the email queue from their side by clicking “resend all” on your “outgoing emails” section.

  7. If the issue persists after checking the steps above, you should contact our support team.
