How does the Smart BCC feature works?

  • The Smart Bcc feature is available for all Pipedrive plans.

  • It can be used in any of the plans. It can also be an alternative to the Email Sync feature, which is only included in some plans.

  • With Smart Bcc function, users can manually forward individual email threads from their email provider into their Pipedrive inbox. From there, users can link the thread to any relevant deals, leads, projects or people contacts in their Pipedrive account.- Unlike the Email Sync feature, which automates email syncing and is available from the Growth plan and above, Smart BCC requires manual forwarding of emails.

  • To use Smart Bcc, users should go to: Settings > Email sync > Smart Bcc and click ”copy“ next to your address.

  • Once copied, you can paste the email address into the Bcc section of any email sent or forwarded from your email provider

  • You should include the Pipedrive Smart Bcc address in the Bcc field of your emails to prevent any confusion with your potential customers.

  • A copy of the Bcc’d email will appear in your Pipedrive inbox under the Mail tab of your Pipedrive account after the email is sent out.

  • Any replies received from your customers will need to be forwarded the same way, to that same universal Bcc address in order to appear in Pipedrive.

  • If there’s an email address in that thread not linked to an existing contact in Pipedrive, a new contact will be created automatically for that email.

  • Using Smart BCC will also allow you to link your emails to items in Pipedrive.

How can I add an alternate BCC email address?

  • To add an alternate email address, you should go to Personal preferences > Email sync > Smart BCC > Smart Bcc emails are accepted from.

  • Enter your preferred email address into the bar and click “add.”- If you encounter an error such as 'The email address you are trying to add is already in use or cannot be added,' verify if the email is linked to another Pipedrive user. Contact an admin to remove or deactivate it if necessary.

  • After you’ve added an alternate email address, a confirmation email is sent to that address which must be verified before the new address can be used.

  • Once validated, emails forwarded to the company-specific universal Bcc from that email address will show up in your Pipedrive inbox.

What is the deal and lead specific Bcc?

  • Each lead and deal in a company Pipedrive account has its own unique Bcc address, and you can forward an email into your account and link it to a specific one Deal/Lead by pasting the lead or deal-specific bcc address into the Bcc field of an email.

How can I find the deal-specific Bcc address?

  • You can find the deal-specific address in the detail view of any deal, in the Smart Bcc side panel:

  • You can find the lead-specific address in the bottom left corner of any lead's contextual view:

Things to note:

  • If you delete a linked email from the Mail tab of your Pipedrive, it will no longer appear in the detail view of that associated Deal/Lead.

  • It's not recommended to forward the same email to multiple deal-specific Bcc addresses at once.

  • If you are using Email sync and Smart BCC in the same email address, it could potentially cause duplicates in your Pipedrive, as the email gets synced twice: once from Email sync and once from using Smart BCC.

Troubleshooting guide

“I’m trying to add an alternative Smart Bcc address but I’m not able to do it, what can I do?”

  • If you encounter an error such as 'The email you are trying to add is already in use or cannot be added,' verify if the email address is already linked to another user or Pipedrive account. If so, request the admin to remove the association or ensure the email is unique to your account.

"Why are emails sent to deal-specific Bcc addresses showing up under the wrong deal?"

  • This incorrect behavior has likely occurred because the sent email is connected to an email thread where the original email in the thread was sent to a different recipient.

  • In this case, this last email sent in that email thread would be connected to the person and deal associated with the first email in that thread, according to Pipedrive's threading logic.

  • This overlapped threading may also occur when an email is forwarded from the Sent folder to a different person than the original email recipient – which some do as a means of sending a templated email to many people at once.

  • To avoid this, we suggest using the email templates feature.

"Why are my Bcc'd emails not arriving in Pipedrive?"

  • If your Bcc's emails are not arriving in Pipedrive it is likely you are sending those emails from an address not recognized by your Pipedrive company account, and thus emails are not allowed to arrive in Pipedrive account.

  • You need to send the emails either from the email address that you use to log in to Pipedrive or from an address you have added as an alternative email address.

  • To add an alternate email address to your Pipedrive account, you should go to Settings > Personal preferences > Email sync > Smart BCC and add your email in the Alternative email address for Smart Bcc field.

  • When added, the email address will receive a verification email. The link in the verification email will need to be clicked – to verify that you own and operate that email address – before the email address can be used for Smart Bcc.

  • Emails associated with deactivated Pipedrive accounts cannot use Smart Bcc functionality. Ensure that the account linked to the email is active.

  • Ensure the email address added as Smart Bcc is unique and not already in use for another Pipedrive account or feature, as duplicate addresses may cause conflicts in email linking.
