What happens to my billing when I deactivate a user in Pipedrive?

When you deactivate a user, you will see a pop-up with the information assigned to that user, as well as the option to remove that unused seat.

The cost of your subscription depends on the number of seats, not the number of active users.

To deactivate a user, follow these steps:

  1. Navigate to Settings > Manage users > Users and access. (Access Settings here)

  2. Locate the user you want to deactivate and click the '...' menu.

  3. Select Deactivate.

  4. Reassign any owned data to another team member if necessary.

  • If you remove this unused seat, the changes will take effect at the beginning of your next billing cycle. If you fill the seats with new users before this date, the seats won't be removed.

  • If you do not remove this unused seat, the seat will still exist in your account and billing remains unchanged.

If you want to remove seats from your account after deactivating users in the past, do the following steps:

Follow these steps to complete the process:

  1. Go to your billing section and click on "Manage seats".

  2. Select the desired number of seats to remove.

  3. Confirm and finalize the changes during checkout.

When a user is deactivated, you may need to reassign their data (Contacts, Deals, etc.) to another user. To do this:

  1. Access the relevant data screens, such as Contacts or Deals.

  2. Use the Bulk Edit feature to select the new owner for this data.

  3. If reassigning Deals first, you can apply the update to related Contacts as prompted.

You can invite a new user to occupy an unassigned seat without additional charges—provided the total number of seats remains unchanged.

The changes for seat downgrade will take effect at the beginning of your next billing cycle. If you fill the seats with new users before this date, the seats won't be removed from your billing.
