The basics
Within the Scheduling page in Planbase, you can compare required hours (the staffing needed) with scheduled hours (the hours assigned). This helps ensure staffing matches forecasted patient demand.
Required hours can be generated from forecasts or set manually if adjustments are needed.
To access scheduling forecasts, go to the Schedule page and click the bar chart icon in the top-right corner to view different forecast metrics.
Viewing forecasted patient volume
Click Forecast Tickets to see expected patient volume for each day. In Day View, forecasts are broken down by hour.
For example, telehealth visits might be 14 on Saturday, 11 on Sunday, and 22 on Monday. This provides a baseline for staffing decisions.
Comparing required hours with scheduled hours
Click Required Hours to see how many hours need to be staffed. Each SLA (service level agreement) row shows:
Top number: Scheduled hours
Bottom number: Required hours
The table uses color coding:
Red means understaffed (scheduled hours are too low).
Blue means overstaffed (scheduled hours are too high).
White/clear means staffing is balanced.
For example, if telehealth visits show 9 scheduled hours and 41 required hours, the cell is red. If async chat shifts have 7 scheduled hours and 3 required hours, the cell is blue.
To fix understaffing, assign more shifts in the schedule view below.
Adjusting required hours manually
Required hours can be edited. Click on the number, enter a new value, and press Enter.
For example, if the system suggests 48 required hours but only 41 are needed, update the number. The color coding will adjust once scheduled and required hours match.
Setting required hours for future weeks
Go to the Target Staffing Hours section in the top-left of the table. There are two options:
Copy from previous week – Duplicates last week’s required hours.
Generate based on forecasts – Uses forecasted patient volume to calculate required hours.
Once generated, numbers can be adjusted manually if needed.
Viewing required hours at an hourly level
Switch to Day View to see required hours broken down by hour. This helps identify specific times of over- or understaffing.
