This guide will tell you how you to create a schedule using our templates functionality

The basics

  • Before you use our template feature you will need to have set up your account and have built a schedule manually or with our optimizer. So if you haven't done that already you should go read the help docs for those and come back to this guide later... If you have done that, welcome you are in the right place!

  • The templates feature essentially allows you to 'copy' an existing schedule for a day, part week or full week, save it, and then apply it to future weeks. There's many handy features around applying the template that help you handle week-to-week changes like employee availability and more.


Creating a template

Navigate to the day or week you want to save as a template. Here you will be able to filter down to the team, role or even employee's shifts you want in the template.

Filters at the top of the schedule screen will carry over to the saved template. e.g. if you have a filter applied for a certain license, only shifts for employees with that license will be saved in the template. So make sure these filters are correct before saving a template!

Applying a template

Selecting a template

To apply a template to the schedule, go to the 'Templates' button in the top-right corner of the schedule. You'll be prompted to select the template you want to apply

Choose template options

You can also choose to apply the template on certain days of the week. You can also choose to apply a 1-day template to multiple days of the week or a 1-week template to 1 day of the week.

Next you are given some options about how to apply your template. "Make all schedules vacant" will make all shifts vacant instead of applying them to employees.

Next you are given the option of whether to add any activities that were saved in your template to the new schedule.

Finally you need to choose what will happen if an employee already has a shift for a given day - you can choose to add the shift anyway, make that shift vacant, or skip adding the shift altogether.

Reviewing and publishing

Once you have selected the above options you will be shown the final number of shifts that will be created. If it all looks good go ahead and apply the template!
