This guide will tell you how you to manage offers for open shifts

The basics

  • Before accepting and managing shift offers you'll first need to have published some unassigned shifts and configured your account to allow employees to make offers through Slack, SMS or email

  • The Open Shifts feature for admins will then make it easy for you to manage, accept and decline shift offers as soon as they become available


Accessing and managing shift offers

Navigate to the main scheduling page. The red callout in the sidebar shows the number of Open Shifts that currently have pending offers available. To access these shifts, click on the callout to bring up the Open Shifts modal. Here, each open shift is displayed along with a yellow badge showing how many offers have been made. Click on the expandable icon to view the associated offers. The shift can be edited directly from the modal and the contained buttons can then be used to automatically assign and publish directly from the same interface.


Accepting Multiple Offers

When a shift has offers from multiple employees you can accept more than one offer by making use of the 'Duplicate' button. This feature allows you to create an exact replica of the desired shift as well as its associated shift offers. After duplicating you can then assign and publish the original shift to one employee and the duplicated shift to another.


Accepting Partial Availability

Sometimes, employees may only be available for part of the time that a shift covers. In such cases, you can modify the shift times to align with an employee’s availability before publishing. Use the 'Duplicate' button if you want to create additional shifts to fill the remaining time. After duplicating you can fill the original time slot as intended while adjusting the duplicated shift to suit the partial availability. After making these adjustments, be sure to click the 'republish' button so that the updated shift information is available to employees.
