Sharing a timeline with clients and contacts (Shareable Views)

What are "Shareable Views"?

Shareable Views allow you to create customized versions of a Timeline for different audiences.

Instead of duplicating schedules or editing multiple documents, you can control exactly which Timeline items appear in each version. Every Shareable View stays connected to the same underlying Timeline, so updates remain centralized and organized.

Within a single Timeline, you can create multiple Shareable Views and choose which Timeline items are included in each one.

Why use Shareable Views?

Not everyone needs the same level of detail. For example:

  • The bridal party may only need key times and locations.

  • The venue may need load-in, load-out, and vendor arrival times.

  • The vendor team may need ceremony cues and reception transitions.

With Shareable Views, you control what is visible in each version, keeping communication clear and focused.

Creating a Shareable View

Open a project Timeline. Then click + New Shareable View.

Enter a name for the Shareable View. Some examples are: Bride's Timeline, Venue Timeline, Bridal Party, etc. This name will be visible to clients and contacts if/when this view is shared with them.

Adding/Removing Timeline Items from a Shareable View

When a Shareable View is first created, all of the boxes next to each Timeline Item will be unchecked. As of now, this view would be considered "empty" and wouldn't show any items if shared.

Check the Timeline Items you want to include in the Shareable View. In the example below, Bridal party breakfast and Bride beings hair and makeup will be included, and Floral setup begins will not be included when this view is shared.

When working inside a Shareable View, you cannot add, edit, or remove Timeline items. You can only select or unselect which existing items should be included in that view.

When you update a time, title, or details in the Timeline Editor, those changes automatically reflect in every Shareable View where that item is included. There is no need to update each view separately.

Sharing Options

To share a Timeline Shareable View, click the Share Timeline button at the top of the Shareable View page.

There are two ways to share a Timeline Shareable View in Planpage: through the client portal or by generating a Direct Link.

Share in the Client Portal

Click the checkbox next to each person to share (or un-share). Once a Timeline or Shareable View is visible in the client portal, your clients can log in to view a read-only version. They can see the schedule and details you have included, but they cannot edit or modify the Timeline.

Share with a Direct Link

Click New Direct Link to generate a new link.

You can Copy Link (useful for including it somewhere outside Planpage, like a text message). Or, click Email Link to send it directly from Planpage.

The "Direct Link" Experience

When someone visits the Direct Link, they're shown the Timeline right away (no login or account setup necessary). Direct Link timelines work on any device.
