Sometimes you need to work with your guest data outside of Planpage. Maybe you want to share a list with a venue, load it into another system, or review everything in a spreadsheet. Exporting to CSV makes this easy.
What is a CSV?
A CSV file is a simple spreadsheet format that can be opened in tools like Excel, Google Sheets, Numbers, or most venue management platforms. It organizes your data into rows and columns so you can sort, filter, or share it however you like.
Where to Find the Export Option
Each project can include several events such as the ceremony, reception, rehearsal dinner, or welcome party. When you open the main Guest List section for a project, it automatically loads the Guest Summary view. The Guest Summary shows an overview of the entire project, but it does not offer an export option.
To export a CSV, you will need to click into a specific event within your project:
Go to Guest List
Select the event you want to export
Look for the Export button in the event toolbar
This allows you to generate a file that includes only the guests, RSVPs, and details for that particular event.
If you don't see the Export button, check that you are inside a specific event. (pictured above at #2). The Guest List Summary view does not include export options.
Choosing Between Individuals and Guest Party Exports
When you export your guest list, you will see two options: Export Individuals or Export Guest Parties. Both are helpful, but they serve different purposes.
Individuals
This export gives you one row per person. It is the most detailed format and is great for spreadsheets or vendor tools that require person-by-person data.
Guest Parties
This export groups guests by household or party rather than listing each person separately. It also includes address information for each party.
