Highlights (color coding your timeline)

What are Timeline Highlights?

Use Highlights to call out important moments, vendor responsibilities, setup notes, photo/video moments, or anything else you want to stand out on a busy timeline.

Common ways to use Highlights

Every planning team can use Highlights a little differently, but here are a few common examples:

  • Marking key moments (Ceremony Start, Cocktail Hour, etc.)

  • Calling out vendor arrivals or deliveries

  • Flagging photo and video moments

  • Highlighting items that need extra team attention

  • Making load-in, strike, or rental-related items easier to spot

Highlights are flexible, so you can set them up in the way that best fits your planning process and timeline style.

Add a Highlight to a timeline item

Each timeline item can have one Highlight assigned to it. To add a Highlight:

  1. Open a project Timeline.

  2. Find the item you want to highlight.

  3. Click the Advanced Editor button on the timeline item.

  4. In the Advanced Editor, click Highlight.

  5. Select the Highlight you would like to apply.

  6. Click Save Item.

Remove a Highlight from a timeline item

  1. Open the timeline item’s Advanced Editor.

  2. Click the currently selected Highlight.

  3. Select Remove highlight at the top of the menu.

  4. Click Save Item.

Manage Highlights for your account

Planpage provides default Highlights for every account. You can customize these defaults or create additional Highlights as needed.

You can open Manage Timeline Highlights in either of these ways:

  • From a timeline item’s Advanced Editor, open the Highlight menu and click Manage highlights.

  • When the current timeline already uses Highlights, click the Highlights heading in the right-column summary.

Create a Highlight

You can create as many Highlights as needed. To create a Highlight:

  1. Open Manage Timeline Highlights.

  2. Click Create New Highlight.

  3. Enter a label.

  4. Choose an icon and color.

  5. Click Save.

Edit a Highlight

You can change the label, icon, or color for an existing Highlight.

Any changes to a Highlight apply across your entire account. For example, if you change the color of a Highlight, all existing timeline items using that Highlight will display the new color.

Remove a Highlight

To remove a Highlight:

  1. Open Manage Timeline Highlights.

  2. Click the trash can icon beside the Highlight.

  3. Review the confirmation message.

  4. Click Remove Highlight.

Removing a Highlight is permanent. It will no longer be available to add to new timeline items, but it will remain visible on any timeline items where it was already applied.

This prevents historical or existing timelines from unexpectedly changing when a Highlight is removed from your account’s available options.

Choose how Highlights appear

In the Manage Timeline Highlights screen, click into Display Settings.

  • Color Bar: Displays the Highlight color along the side of the timeline item.

  • Icon: Displays the Highlight icon.

  • Label: Displays the Highlight label.

  • Background: Applies the Highlight color as a background treatment on the timeline item.

Display Settings apply across your entire account, including project timelines, timeline templates, shareable timeline views, and PDF exports.

Use Highlights on timeline templates

Highlights can also be added to timeline template items. Applying a Highlight to a template item works the same way as applying one to an item on a project Timeline.

When a timeline is created from a template, any Highlights assigned to template items can carry into the new timeline, helping your team keep timelines organized and consistent from the start.
