Music is often tied to the most important moments of an event: the processional, the grand entrance, the first dance, or the final song of the night. With Planpage, Songs are a dedicated part of your Timeline, so music selections stay connected to the moments where they belong instead of being buried in general notes.
Planpage integrates with Spotify and YouTube, and other popular music services, making it easy to attach specific Songs to your Timeline instead of tracking music selections in general notes. You can also mark timeline items as "Song Needed (TBD)" when a choice is still outstanding. As the music plan comes together, your Timeline stays organized and ready to share with your team, clients, and vendors.
Songs can also be collected through the client-facing Music page, giving clients an easy way to submit or update selections while keeping the Timeline in sync.
Add a Song to a Timeline item
1) Open a project Timeline.
2) Find the Timeline item where you want to add a Song.
3) Click the Edit button to open the item's Advanced Editor.
4) In the Song section, click Add Song.
5) Select Song Chosen or Song Needed (TBD). In this example, we'll go through the Song Chosen workflow (Song Needed will be covered later).
6) There are three options for getting a Song into Planpage...
Spotify
Search Spotify’s catalog of 100+ million songs directly within Planpage and choose the song. Song details and album artwork are automatically added.
YouTube
Paste a YouTube link and Planpage will automatically pull in the song/video details.
Click "Add" to confirm. You can then update the Song Title and Artist before saving.
Manual Song Entry
Select the "Manual" option to enter song details yourself. Source URL is an optional field for linking to an external file (Google Drive, Dropbox, etc.).
Song Notes
Songs have an optional Song Notes area. It's a great place to keep things like timing and playback notes.
Song Notes are displayed on the timeline as well.
Song Needed (TBD)
When adding a song, choose Song Needed (TBD) when you want to keep track of a music selection that still needs to be made. For example, you might know the ceremony recessional needs a song, even if the couple has not selected it yet.
The timeline item will have a "Song Needed" label attached to it (visible in the timeline).
Review Songs on a Timeline
The right-hand summary column shows how many Songs have been added to the Timeline. If any items are marked Song Needed, the number of needed selections is also shown.
Click the Songs summary to open a complete overview of the Songs and Song Needed entries on the Timeline.
The summary is for reviewing the Timeline’s music selections. To add, edit, or remove a Song, open the related Timeline item in the Advanced Editor.
Collect Song selections from clients
Songs on a Timeline are also available on the project’s Music page. The Music page brings together Timeline items that have a selected Song or are marked Song Needed, and it can be shared with clients (with the option for them to make edits).
When a client adds or updates a Song on the Music page, the change immediately updates the related Timeline item and any shared Timeline views.
Track Song changes in the activity feed
When Songs are added, updated, or removed from a Timeline, Planpage creates activity feed entries. This provides a history of Song changes made throughout the planning process.
Add Song Placeholders to Timeline templates
You can also prepare for future Song selections when building a Timeline template.
Timeline templates cannot include a specific selected Song. Instead, you can add a Song Placeholder to a main Timeline item or breakdown item within the template.
When the template is applied to a project Timeline, each Song Placeholder automatically becomes a Song Needed (TBD) entry. These entries appear on the Timeline and are included in the Songs Needed summary count.
