How Events, Venues, and Spaces Work Together

A wedding can involve several events, multiple locations, and even different areas within the same venue. Planpage gives you the flexibility to keep all of those details organized in a way that matches how the celebration is actually being planned.

For example, a Ceremony & Reception Event might include a hotel where the wedding party is getting ready, a church for the ceremony, and a separate venue for the reception. At the reception venue, cocktail hour might take place on the patio while dinner and dancing happen in the ballroom.

That’s where Events, Venues, and Spaces come in.

Overview of Events, Venues, and Spaces

Events

Events are the different parts of a wedding or celebration that are planned and managed as distinct parts. A Wedding might include Events such as:

  • Ceremony & Reception

  • Rehearsal Dinner

  • Welcome Party

  • After Party

  • Sunday Brunch

For most weddings, the ceremony and reception can remain together as one Ceremony & Reception Event (even when different parts of the day happen at different locations).

Venues

Venues are the locations being used throughout an Event. An Event can have one Venue or several. For example, a Ceremony & Reception Event could include:

  • The Grand Hotel (Getting Ready)

  • Carmel Church San Diego (Ceremony)

  • The Pendry Hotel (Reception)

This keeps all three locations connected to the same Event while making it clear what each one is being used for.

And a Venue doesn’t have to be a traditional wedding venue. A hotel, Airbnb, private home, salon, church, restaurant, or other important location can be added when it’s helpful to keep its details with the Event.

Spaces

Sometimes the specific areas within a Venue matter too. Spaces let you capture those details without treating every room or area as a separate Venue. For example:

  • Venue: The Grand Hotel

    • Space: Bridal Suite (Getting Ready)

  • Venue: The Pendry Hotel

    • Space: Patio (Cocktail Hour)

    • Space: Roosevelt Ballroom (Reception)

Other Spaces could include a garden, terrace, courtyard, groom’s suite, private dining room, or any other area within a Venue.

Spaces are optional. If knowing the overall Venue is enough, there’s no need to add them.

How It Works

Create or edit an Event

Open the Project, then click into the Events page.

To edit an existing Event, click the ••• dropdown.

To create a new Event, click New Event

Here you can set the Event name, dates and times, and choose whether you'll be managing guests and meal selections for that Event.

Add the Venue(s)

In the Event editor, click + Add Venue and use the Google Places search field to enter the venue name or address. This helps automatically suggest and fill in accurate location details.

The Venue now appears in the Venue section of the Event editor.

Add as many Venues as the Event needs. Click + Add Another Venue if multiple are needed.

You can also identify what each Venue is being used for, making it easy to understand how each location fits into the day.

Add Spaces for more detail

If a Venue has specific rooms or areas you want to keep track of, click + Add space underneath that Venue.

Give the Space a name and, if helpful, describe what it is being used for.

The Space now appears in the Venue.

Reusing Venues and Spaces

Once you add a Venue or Space to a Project, you can reuse it for other Events in that same Project without entering the details again.

Reordering Venues

When an Event has multiple Venues, you can arrange them in the order that makes the most sense for the day.

Setting a Time for a Venue

A Venue can also have its own start and end time within an Event. This is helpful when an Event spans several locations throughout the day.
