Sometimes an invoice still has a balance due, but you no longer need to collect it, such as when an event is cancelled or your agreement with the client changes.
Closing the invoice lets you stop collecting the remaining balance while keeping the invoice and its payment history intact.
How to Close an Invoice
Open the invoice, then click the ••• menu at the top of the page and choose Close Invoice. This option is available when viewing the invoice, not while editing it.
Planpage will show you the remaining balance and ask you to confirm.
You can also add an optional Internal note for your team before closing the invoice. This note is not visible to clients.
Click Close Invoice to finish.
What Happens When an Invoice is Closed?
Once an invoice is closed:
The remaining balance is no longer due
Payment reminders stop
The client can no longer make a payment
The invoice is no longer considered Open or Overdue
Any payments already received remain on the invoice
The invoice remains available to both you and the client with a Closed status
Closing an invoice does not change its original total, line items, payment schedule, or payments already received.
What You See
You’ll see the invoice’s Closed status, closed balance, who closed it, when it was closed, and any internal note added by your team.
What Your Client Sees
Your client sees that the invoice is Closed and that the remaining balance is no longer due, without any internal notes or staff activity details.
F.A.Q.
Can I close only part of an invoice balance?
No. Closing an invoice applies to the entire remaining balance.
Can I close a Draft or fully paid invoice?
No. An invoice must have a remaining balance and cannot be a Draft or already Paid.
Will my client receive an email when I close the invoice?
No. Closing or reopening an invoice does not automatically send an email to the client.
Can my client still view a closed invoice?
Yes. Clients can still view a closed invoice anywhere they already had access to it, but they can no longer make a payment.
Does closing an invoice change a signed contract?
No. Closing an invoice only changes whether its remaining balance is still being collected. It does not change the services, amounts, or payment terms in a signed contract.
Can I reopen the invoice later?
Yes. Choose Reopen Invoice to make the remaining balance due again.
