Manager: Roles and Institution Management

Learn how to manage teacher accounts, classes, and licenses in your institution.

At ubbu, the Manager acts as the contact point between the platform and your institution. They have access to additional features that allow them to manage the teaching staff, classes, and licenses. These features are available on the Institution page, which is only visible to teachers with the Manager profile.


What can a Manager do?

In addition to all the features available to a regular ubbu teacher, a Manager can:

  • Manage teacher accounts in the institution (add, invite, edit, archive, or restore accounts).

  • Manage the creation of classes and assign teachers to each class.

  • Keep the teaching staff updated, ensuring that all active teachers are correctly registered and associated with their classes.

  • Check the status of teacher accounts (active, archived, or removed).

  • Manage the number of institution licenses and request additional licenses from the ubbu team if needed.

  • Monitor the number of teachers, classes, and students associated with the institution.


How to access the Institution page

The Institution page is only available to teachers with Manager permissions.

  1. On the main screen, in the top-right corner, click your username and select Institution.

  2. If you are a Manager, you will see Institution in the menu.

  3. Click it to access a screen with all teacher accounts in your institution, including other Managers.

💡 Note:
If you do not see Institution, it means you do not yet have Manager access. Each institution may have more than one Manager.
If you need access, contact one of the Managers in your institution. If you do not know who the Manager is, contact ubbu support via the Talk to us button or email hello@ubbu.io.


Main Features Detailed

1. Manage Teacher Accounts

Add or Invite teachers:

  1. Click Add Teacher.

  2. Fill in the teacher’s information. If they are not yet registered on ubbu, an invitation will be automatically sent.

  3. Click Confirm to complete.

Access to Institution classes
Managers must manually add themselves to the classes created by teachers in the institution.

To do this, navigate to the Institution page and locate your avatar. By clicking on your avatar, you will be able to see all the classes that have been created in your institution.

Next, select the classes you want to access, and you will be automatically added to them.

Edit teacher account:

  1. Select the account you want to edit.

  2. Click •••Options.

  3. Choose from:

    • Associate or remove the teacher from classes.

    • Archive the account (teacher no longer belongs to the institution).

    • Delete the teacher account.

Restore account:

  • If an account was removed, the Manager can restore it while keeping the class history.


2. Manage classes

  • Click •••Options for each class.

  • Click Teachers in the class to view associated teachers.


3. Keep the teaching staff updated

  • Archive teachers who have changed schools or groups.

  • Ensure all active teachers are properly registered and associated with their classes.


4. Manage Licenses

  • Check the number of available and used licenses.

  • Request additional licenses from the ubbu team when needed, via the Talk to us button or email hello@ubbu.io


Who can be a Manager?

Any teacher can be a Manager, but ubbu suggests some profiles:

  • Year or cycle coordinator, due to communication with all teachers.

  • Librarian teacher.

  • Teacher with experience and deep knowledge of the platform.

💡 Note:
Managers play an essential role at ubbu, ensuring organized and aligned use of the platform. They are internal references for accounts, classes, and licenses, supporting and coordinating the teaching staff.


Best practices

  • Regularly review the teacher list to ensure only active teachers are included.

  • Update a teacher’s account whenever they change classes or schools to avoid association errors.

  • Use the archive or restore options to keep the institution’s history organized without losing important information.

  • Send invitations to new teachers as soon as you know they will join the institution, allowing a quick start on the platform.
