The primary workflow on Deliveries is the 'Book a Delivery' tool, located in the top right of the page. This workflow is also the basis for our mobile apps (search 'PLOT Jobsite' in either app store). A third 'public' Book a Delivery tool is accessible on the Jobsite Profile, also linked to by the QR code located on TV Mode.
The 'Book a Delivery' tool is the standard workflow for Trade Contractors requesting unloading Location and Equipment for their deliveries. The user will select the location and equipment on the left hand side, as well as the duration of unloading the delivery and PLOT will automatically show only the available times in which the Trade Contractor, Location, and Equipment are available to receive the delivery.
PLOT automatically shows availability for the next 5 days, but you can jump further into the future by clicking the date picker in the top right of this pop up. Keep in mind that jumping to a date in the future may show/hide locations and equipment on the left sidebar depending on their dates available.
Trade Contractor users will select a start date and click next to name the delivery. GC Leads will receive a notification to Accept/Decline or Reschedule the delivery if Approval Settings are turned on.
GC Override Tool
The 'GC Override' button on Deliveries is very similar to 'Book a Delivery' but allows for GC Leads to override any conflicts (e.g. booking outside of Delivery Hours, double-booking a piece of equipment).
Delivery Settings
GC users can edit how PLOT responds to Delivery requests by clicking the gear icon in the top right of the Deliveries page.
General Settings
Default Delivery Hours - This sets the default receiving hours for all locations and equipment. Each Location/Equipment can have a custom time that overrides this default. You can also set the Jobsite to be able to receive deliveries 24 hours a day.
Jobsite Work Week - Set the work week that PLOT should expect deliveries to be booked on. Keep in mind, this is the rule knowing there will be exceptions. GC Leads can override Delivery Hours and Days at any time using the 'Add Delivery' button.
Jobsite Exception Dates - These are the holidays and other Jobsite Closure days. PLOT pre-loads 11 federal holidays, you can edit those as well as add your own custom Jobsite Closure days.
Send Weekly Overview Email - This email will be sent to each Trade Contractor lead at the day/time shown and will list the next week's Deliveries, Orders needing placed (Lead Times only), and Orders needing Check-in (Lead Times only).
Workflows Settings
Require GC/Prime Approval - When Trade Contractors submit a delivery, this setting means the GC Lead will be notified and the delivery will sit in PENDING status until a GC Lead Accepts. If this setting is turned off, GC Leads are not notified, deliveries are auto-approved, and delivery booking is effectively first-come-first-serve. Delivery requests by Trade Contractors still must be 'conflict-free' with this setting turned off.
GC can approve Trade Delivery - This setting allows GC users to Accept a delivery on behalf of a Trade Contractor. When a Trade requests a delivery, it is auto-accepted from their team. When a GC user creates a delivery, and lists a Trade Contractor as the receiving team, this setting allows them to accept on behalf of the Trade. The Trade Contractor Lead still gets notified.
Conflict Check - This area changes how 'Book a Delivery' functions. The default is to limit one delivery per Trade Contractor, per Location, and per Equipment at a time but GCs can allow for double-booking by turning these toggles off.
Delivery Scheduling Range - This settings determines how soon, and how far out, a Trade Contractor can request a delivery. If you require 48 hours noticed before deliveries, you might enable the first toggle. If you don't want Trade Contractors booking too far out (and therefore with unreliable dates/times) you can set a maximum number of days into the future.
