Agreements templates can be applied when setting up services for customers. These templates include things like possible service frequencies, billing information, contract terms etc.
To edit an agreement (sometimes referred to as a contract), head to settings > agreements.
From that screen, click the name of the agreement template you want to edit. It will pull up the Edit Agreement screen that looks like this.
Here is a brief description of each editable portion of the agreement template.
Default auto-renew to checked during contract creation - this will automatically select the auto renew box when creating a new contract, which will renew the contract after the contract length has been reached.
Do not schedule initial job for a specific time - this is useful when adding existing customers to Pocomos. Instead of scheduling an initial job with the customer when you add them to Pocomos you can add them in to the job pool to be scheduled and serviced in the same workflow used to schedule and service the rest of your existing customers.
Attempt to bill first invoice at time of contract creation - If checked the system will change the status of the first invoice to "due" when the contract is created. This will result in an automatic payment being charged to that customer if you have their credit card info on file and have automatic payments enabled for that customer.
Specify number of jobs during contract creation - if checked, instead of a number of months for a contract you can specify the number of jobs to complete and their frequency instead of choosing a number of months for the length of the contract.
All user to specify a start and end date of contract at time of creation - dangerous when used in conjunction with "specify number of jobs during contract creation feature". This option will give the user who is adding the customer the ability to manually set the start and end date of the contract.
Length (in months) - length in months of the contract to be created.
One-month followup - creates a one month follow up service before the regular service frequency takes effect.
Allow specification of custom billing frequencies - Allows you to bill at a separate frequency than the service schedule. We call this disjointed billing (i.e., quarterly service frequency paid monthly.) When this is chosen invoices are not attached to a specific service like they are when the custom billing frequencies box is left unchecked. Care must be taken when billing customers with disjointed billing.
Billing frequencies - select possible options to be applied to the customer when creating a contract for the customer.
Service frequencies - select possible options to be applied to the customer when creating a contract for the customer.
I agree signature text - if you would like the signature field for the customer to display something other than "i agree" enter that here.
Contract terms - any terms from the contract text that you would like to draw extra attention to. These show up in the signature box when the customer is signing the contract.
Autopay Terms - if you need to display special terms to be able to collect automatic payments, enter them here. These show up in the signature box when the customer is signing the contract.
Agreement body - the text of the contract.
Invoice introduction - shows up on all invoices for jobs created by this agreement. Examples of things I have seen included are phone number, email address, customer appreciation messages etc.
Once you have made all of the edits you would like, hit save changes. You will then be able to apply this agreement template when creating a new agreement for a customer.
