Email broadcast recipients will help you select exactly what subscribers should be getting your emails - a perfect way to tailor your messages to a specific part of your audience! 📩

Understanding email broadcast recipients

Recipients will let you choose specifically who you want to target whenever sending out an email broadcast.

We'll start by clicking on the "Email" in the sidebar menu and select "+ New broadcast".

From there, you'll see a Recipients area. The Recipients area will let you pick what subscribers will receive this email you're just writing.

You can select both audience segments or apply a combination of filters to narrow down your audience.

Recipient segments

Podia lets you pick previously saved audience segments and quickly select them as your email broadcast recipients.

By default, the "Everyone" segment is selected.

To send your email to a different segment, click “Everyone” to open your segments and select a different segment you'd like to target.

Once your new segment is selected, the number of recipients will automatically update. You can read this help doc to learn more about creating new audience segments.

Recipient filters

Podia also lets you apply filters to your email recipients and filter them by specific criteria.

Here's a list of available broadcast filters:

  • Account: Send an email based on whether contacts have completed their account setup.

  • Affiliate: Send an email based on contacts’ affiliate status.

  • Course progress: Send an email based on whether contacts have completed a specific online course or lesson.

  • Cancelled plan: Send an email to people who have cancelled a community plan.

  • Discord member: Send an email to contacts who have joined your Discord through one of your products.

  • Email activity: Send an email based on whether contacts have opened an email or clicked a link within it.

  • Email address: Send an email to contacts whose email addresses match or don’t match specific criteria.

  • Has products: Send an email based on the products contacts have signed up for.

  • Last seen: Send an email based on the date contacts last logged in to their accounts.

  • Has plan: Send an email based on the paid community plans contacts have joined.

  • Name: Send an email to contacts whose names match or don’t match specific criteria.

  • Joined: Send an email based on the date contacts first signed up for your site.

  • Registered for events: Send an email based on the events contacts have registered for.

  • Spent: Send an email based on how much contacts have spent on your site.

  • Subscription: Send an email based on contacts’ email subscription status: Subscribed, Unconfirmed, or Not subscribed.

  • Tagged: Send an email based on the tags contacts have or don’t have.

  • Waitlisted: Send an email based on the products contacts have joined the waitlist for.

  • Wishlist: Send an email based on the products contacts have or haven’t added to their wishlists.

You can mix and also apply multiple filters to ensure you are selecting only the subscribers who would really benefit from your message.

Match all/any filters

If you add multiple filters to your email broadcast, you'll have an additional option to select if you want recipients to match all or any filters:

  • Match all filters - People would need to match all filters to be selected as an email recipient.

  • Match any filter - People can match any filter to be selected as an email recipient.

Use cases

Here, we'll take a look at a couple of filter combinations you can use to send an email broadcast to specific parts of your audience.

Sending an email to one person

Here's how to send an email to a specific subscriber:

  1. Select the "Email address" filter option.

  2. When the modal pops up, enter the email address of the person you'd like to send an email to.

Sending an email to customers from multiple products

Here's how to send an email to customers of a product or multiple products:

  1. Select the "Has products" filter option.

  2. When the modal pops up, select the Specific product suboption and choose the product you'd like to target.

    From there, select the product you'd like to target with this email. The product will be selected, and the subscribers from this product will be added to the recipients' list.

  3. If you'd like to target multiple products, simply repeat the process and add more filters with the remaining products you'd like to target.

  4. Make sure to click on the "Match any/all filters button" and select "Match any filter".

FAQs

What is the difference between the match any / match all options?

When you select the "match any" filter, recipients who match any of the added conditions will be included in the results. This option is good for selecting larger groups who meet various different criteria.

When you select the "match all" filter, recipients must match all of the conditions to be included in the results. This option is good for selecting smaller, or more refined groups who meet more complex criteria.

When attempting to filter your audience to a very specific group of people, it is always wise to spot-check your refined list to ensure that the correct options have been selected!

Why don't I see all my recipients listed?

The recipient preview is limited to showing 25 subscribers — this is a display limit, not a delivery limit.

The total count shown in your Recipients area (e.g. "Show 27 subscribers") is accurate, and all matching subscribers will receive your broadcast when it's sent.

To see the complete list of everyone who received your email, open the broadcast after it has been sent.

Why did my broadcast reach fewer people than registered for my event?

Even with the correct filters applied, a broadcast will only be delivered to contacts who are subscribed to your emails. Contacts with an Unconfirmed or Not subscribed status are excluded from broadcasts, regardless of the filters you've set.

This is a common reason for a recipient count mismatch — for example, if 47 people registered for a webinar but only 26 received the post-event email, the remaining 21 likely haven't confirmed their email subscription (which can happen when double opt-in is enabled).

To check, add the Subscription filter to your Recipients area and select Unconfirmed or Not subscribed to see which contacts are excluded.
