Email formatting best practices

Are you looking for ways to add images or files to your email broadcasts or campaigns? Here are some best practices for adding a "wow" factor to your outreach!

Podia features a rich-text editor that allows you to format text and insert various types of content into your emails.


Formatting your email's text

Podia's rich text editor allows you to format your email's text, such as changing the font size, headings, bold and italic text, etc.

Start by typing / (forward slash) in the text area of your emails to bring up the command menu. From there, pick what you'd like to add to your text:

Additionally, you can select any portion of the text you'd like to change and use the toolbar to make modifications.

Using the rich-text editor, you're able to insert:

  • Name personalization

  • Headings

  • Large and small text

  • Bullet and Ordered lists

  • Codeblocks and Blockquotes

  • Bold and italic text

  • Links (including a mailto: link)


Adding name personalization to your emails

Who doesn't appreciate a touch of personalization?

With Podia, you can include your subscriber's name in any email you send out.

To add a name variable to your emails, type @ into the text area and select the variable you'd like to use: Name (full name), First Name or Last name.

You can also click on the variable token to set up a name placeholder: a term to refer to recipients who signed up without a name.

Name personalization on subject lines

You can also add a name variable to your subject lines by using the {{ first_name or 'there' }} code line.

You can also customize the placeholder text by replacing the word between ' '. Make sure no other special characters are used in this placeholder text, or it might cause a conflict with the code.

Name variables will default to the placeholder text during a test email preview.

Test emails are primarily designed to preview the layout of your emails and not to showcase full functionality.


How to insert & manage links

Inserting links

  1. Select the text you want to link

  2. Click the link icon in the editor toolbar

  3. Enter the full URL (including the https:// prefix) or use the available options to link to products, pages, coupons, etc.

  4. Click Done.

Removing links

To remove a link:

  1. Select the link text within the editor

  2. Click the link icon in the editor toolbar

  3. Press the "X" (Clear) button

  4. Click Done to save your changes


How to insert images

Click on "+" to add a new section to your email, and pick "Image".

Use the right-hand menu to upload your image and make any design modifications.

You can adjust your image's corners, width, alignment, add an alt text, image link & more.

For better compatibility across users from different devices, keep your images under 5MB and in .png, .jpg, or .jpeg formats.


How to insert videos

Click on "+" to add a new section to your email, and select "Video".

Use the right-hand menu to paste the link to where your video is hosted and make any additional adjustments to how you want the player to look in your emails.

You can adjust your video section's name, layout, colors, alignment, and more!


How to insert files

Click on "+" to add a new section to your email, and select "File".

Use the right-hand menu to upload your file and make any additional adjustments to how those files would look in your emails.

You can adjust your files' name, layout, colors, alignment, and even display an icon or the file size.

Files added as inline download links should be less than 1 GB in size.

​Zip files should not be used for this purpose, but can be attached in email broadcasts using the file attachment tool there.

Please note that embedded content, such as a YouTube videos, will not display within an email broadcast or email campaigns at this time.
