Transferring your account on your own

Moving to Pogozo from another system? We've made a DIY version so you can transfer your data on your own.

Welcome to Pogozo! We're excited to have you here, let's get you all set up.

Did you know our team at Pogozo can assist you with your data transfer? We can do the import for you (highly recommended), or you can import yourself using this help guide.

If you would like our team to transfer your data for you, please book in your data transfer session below.

If you want to go it your own, we have created a DIY data transfer process so that you can do yourself, in your own time, when you are ready.

Please note: to get the best results you need to follow the step-by-step instructions in the order below. Please don't import or manually add data out of order, as this may result in duplications or errors in the syncing of your data.

Once you have signed up to Pogozo, one of the first things we encourage you do to is work through the list of onboarding tasks waiting in your Task list. This will help set up your account and explore the features on offer, one by one. Although you can see your task list on your dashboard, we're going to start on the Task page, accessible from the menu on the left of your screen.

To select each task, simply click on the task text, and a window will pop up from the right with instructions. To mark a task as complete, simply check the box to the left of the task item.

We recommend you do these tasks following the order below, as some tasks need to be completed for others to proceed.

Let's get started!

Step 1 - Setting up your business

You will need to set up your business locations before you start your data transfer process. At Pogozo we understand some businesses operate from multiple locations, so have allowed for this as part of your business set-up.

On the main menu go to Settings.

Click on the the sub-menu Business and then Business details.

Here you can view your business details and add multiple locations if applicable. You can refer to this article for more detailed information about adding locations.

TIP You will need to put your location name into some of the CSV templates as part of your data upload. Make sure you make a note of the names you use, including spelling, spacing and punctuation. It needs to be exact for the data transfer to be a success.

Step 2 - Set up your important documents

As a business we are sure you have important documents your clients need to sign. We recommend setting those up now.

On the main menu go to Settings.

Click on the the sub-menu Documents & Templates

Using the menu on the left, you can upload the following important documents and templates:

  • Privacy documents - this where your your privacy policy and terms & conditions live. These will be automatically linked to your business and become part of your new client onboarding process.

TIP You can add your waivers to appointments by entering the waiver name into some of the CSV templates as part of your data upload. Make sure you make a note of the names you use, including spelling, spacing and punctuation. It needs to be exact for the data transfer to be a success.

Step 3 - Set up your finances

Setting up the way you get paid is an important part of doing business.

Firstly you'll need to set up your finance settings. We recommend you start with Currency and taxes.

On the main menu go to Settings.

Click on the the sub-menu Finances.

From here click on Currency and taxes.

Select the currency your business operates in.

Then add the tax rate of your region. For example if you are in Australia we recommend adding GST at a rate of 10%.

Next, if you plan on making payments either once off or automating payments for memberships and class passes through Pogozo you'll need to integrate with Stripe. Stripe allows for payments via credit cards or bank accounts.


You will need an active stripe account to integrate with Pogozo, if you don't have one and need to set up a Stripe account for your business do that first here.

If you have a Stripe account and you're ready to connect it with Pogozo follow the steps in the article Integrating with Stripe.

This is also a great time to integrate with Tyro if you have a Tyro Health Online account. Integrating with Tyro allows you to process private health insurance claims, Medicare claims, DVA, workers compensation and more.

Step 4 - Download your data from your current system

Downloading your data from your current practice management system will vary depending who you are with. We've done our best to link the relevant information on how to transfer your data out of your old system, but if you are not sure we recommend reaching out to your current software provider as they should be able to help you.

You will need your data to be editable and readable, we recommend you download your data in either a CSV or Excel format.

Downloading data from Cliniko is easy and you can generally do it all yourself!

Downloading data from Nookal can be done on your own, however we recommend you request a full data download from Nookal support. We have found the do-it yourself version doesn't allow you to download all of your data but you can still make it work without the full data download.

Downloading data from PPMP will vary depending if you are cloud based or have a local server. For cloud based systems you may need to request a full data download from PPMP support. If you currently have PPMP installed on a local server your data will likely be exported as an SQL .bak file. Unfortunately we cannot access this file as it is only accessible via PPMP. Please reach out to us to discuss your options.

Downloading data from Mindbody requires you to make a request from Mindbody support. You can then share the zip file with us.


Downloading data from Front Desk you may need assistance from FrontDesk in decrypting this data for it to be uploaded into Pogozo. You can reach out to Front Desk support to help you with this.

Downloading data from Halaxy is easy and you can do it all yourself!

TIP We recommend you keep a complete copy of all downloaded data in a safe place for future reference. Some data you might choose not to upload into Pogozo so keeping a full copy of all of your downloaded data will ensure you have access to what you might need in the future.

Step 5 - Transfer your data into Pogozo's upload templates

To upload your data into Pogozo you'll need to ensure it is in the same format as our upload templates.

The easiest way to do this is by copying and pasting your data from the files you have exported from your current system into the Pogozo upload templates.

To find the Pogozo upload templates on the main menu go to Settings.

Click on the the sub-menu Data and then click Upload data.

Select the data you want to import and then download the template csv.

TIP We understand this level of "tech stuff" can be overwhelming. If you have started the DIY method but since decided you'd like one of our team to assist you in the data transfer process simply email us at hello@pogozo.com with the subject Data Transfer, letting us know you've started the process and someone from our team will get back to you.

Once you have downloaded the Pogozo data templates, the next step is to transfer your data from the exported files from your old system into the Pogozo data templates.

Step 6 - Upload your data into Pogozo

You are almost there!

Now that you have all of your data in the Pogozo transfer templates, you can upload each file one by one.

We highly recommend you upload your CSV files following the order below, as some need to be completed for others to proceed. For example, to upload your appointment calendar, you'll need to have a team member with the role of practitioner so you can assign that appointment to the correct practitioners diary.

  1. Team members

  2. Clients

  3. Client Cases

  4. Billable items

  5. Appointment types

  6. Appointments

  7. Appointment notes

  8. Invoices

  9. InvoiceItems

To upload your templates into Pogozo head to Settings, Data and Upload Data.

From the dropdown menu, select the type of data you want to import. Click and search or drag your file into Pogozo. Then click Import Data button.

If your data has uploaded successfully you will see a success message as shown below.

Troubleshooting your imports

Troubleshooting when things don't go to plan is made easier with our error log. If you get an error with your data import click on the Error Log. Here you will be able to see which row Pogozo is having trouble importing, and what exactly the problem is.

For example the picture below shows that there was an error importing the data. We can click on the error log to see the specifics.


Here we can see that the problem was in Row 1, and the issue was a missing email address. Missing data is the most common problem encounter when uploading data. Some other issues could include incorrect formatting or duplicated data. For more details and tips to resolving these issues refer to the specific template guide above.

Unfortunately there are some things we can't upload into Pogozo. This includes:

  • Classes

  • Memberships

  • Account Credits

  • File attachments (these can be uploaded individually but not as a bulk upload)

  • Communication logs

  • Existing reports

Step 7 - Next steps

There are a few things we aren't able to transfer from your other practice management system. Now that all your data is transferred across you can set these up manually if you need them.

Additionally, there are some nitty gritty details that you might want to set up before you get started. In most cases we've created default options for these but you might like to customize them yourself before you start seeing clients.

Congratulations! You're now well on your way to setting up your Pogozo account, and simplifying your business administration tasks.
