Polaris Data offers an optional OVERTIME functionality to allow you to add additional pay onto an employee who is paid a fixed salary.
Polaris Data can either;
OPTION 1: automatically work out the required equivalent hourly rate to be paid for Overtime based on their Salary divided by their CONTRACTED HOURS saved in Polaris Data. e.g.;
EMPLOYEE (A) SALARY = £26000/annum
WEEKLY EQUIVALENT = 26000 / 52 weeks = £500 p/week
CONTRACTED HOURS = 40
OVERTIME HOURLY RATE = £500 / 40 hours = £12.50 p/hour
OR
OPTION 2: Use a fixed Overtime hourly rate, as defined by the company. This fixed rate would be the same for all employees that have been assigned to use the "fixed" rate.
**With this in mind, if using option 1 - to utilise this function correctly, you MUST ensure that the CONTRACTED HOURS under JOB TYPE & PAY RATES > EDIT JOB have been saved correctly for the relevant employee(s)**
Once you're happy with the employee setup, please follow the steps below to mark a salaried employee as qualifying for Overtime to be processed, and actually adding the Overtime to your rota.
SETUP EMPLOYEE TO ALLOW OVERTIME
Step 1.
Navigate to the employee's JOB TYPE AND PAY RATE SCREEN and select EDIT JOB/PAY RATE:
Step 2.
If you are using OPTION 1, ensure WORKING HOURS is correct as per employee contract, and change the ALLOW OVERTIME flag to YES; and ensure the OVERTIME RATE TYPE = EQUIVALENT. Then click SAVE.
If you are using OPTION 2, change the ALLOW OVERTIME flag to YES and select the OVERTIME RATE TYPE as FIXED. Then click SAVE.
(n.b. if you do not have access to change this flag, please contact your Line Manager)
ADD AN OVERTIME SESSION FOR THE EMPLOYEE
Step 1.
Navigate to the ROTA PLANNER and find the rota session you want to assign as OVERTIME, and then EDIT the rota session;
This can be achieved via ROTA PLANNER DAILY VIEW by double-clicking on the rota session OR right-click with your mouse and select EDIT;
This will take you to the SESSION EDITOR
Step 2.
Simply use the slider(s) on the session editor to assign the require number of hours OVERTIME vs NORMAL HOURS.
(You can also pay OVERTIME at TIME AND A HALF or DOUBLE TIME using the available sliders.)
Once adjusted, simply click the SAVE button in the top right corner to apply the changes.
This will adjust your wage costs accordingly and add the additional Overtime session costs (number of hours x hourly rate applied) to the employee's weekly cost for reporting.
For Payroll reporting and processing, these overtime hours and costs are recorded separately to an employee's basic salary, so that they can be processed as a separate pay element;
(10 hours on site as per example above but 9.67 hours worked after unpaid break has been deducted)
