Set up and share policies

Establishing clear guidelines for your partners ensures a better foundation for your operations.

What is policies:

The policies function is a document to be signed by your suppliers. This could be anything of your choice for example a Code of Conduct, a Non-disclosure agreement or anything els you want your suppliers to comply with.

Lets get your policies established:

  1. Go to the Supply Chain tab on the left.

  2. Now go to the tap Policies under the compliances category.

  3. Press Add Policy in the top right. Here you have different options:

    1. Empty policy - blank policy.

    2. Code of Conduct policy - policy template based on the OECD standard.

    3. BSCI Producer - policy template based on the BSCI standard.

    4. BSCI Partner - policy template based on the BSCI standard.

    5. Generate Policies from PDF - upload you policies and AI will generate a policies for the system.

  4. Depending on what template you have chosen you can now add or modify content and sections. You can all ways preview a policy with the preview bottom in the top right.

  5. On the left view you can now see all the policies and the different versions. Click use version to use the specific version as the active version. You can further more adjust receivers, email settings. You can assign a specific policy for a specific teammember of you company.

  6. To send a policy you have to engage the toggle button "Activate policy". This will inform your suppliers about a new policy version that needs to be signed. In the tab "My suppliers" you can find a overview and see the status of the policies in the "Policies" column.

  7. When adding new versions you are should remember to click "Use version" and the suppliers are now able to find and sign the new version.

    1. You are able to add a "minor version" or a "major version" depending on how much the new version will vary from the previous version.

How to use the standard OECD policy?

  1. Go to the Supply Chain tab on the left.

  2. Now go to the tap Policies under the compliances category.

  3. Press Add Policy in the top right and choose the OECD standard.

  4. Now you get a prefilled policy based on the OECD standard. You can use it as it is or modify it as you like.

How to share a policy?

When creating a policy or updating a policy it will by default inform all suppliers via email and a notification within the platform. You can change receivers and email settings on each policy if some policies are only intended for some suppliers. You can also set a counter for when a reminder should be sent if the policy has not been signed.

How to check how is receiving a policy?

Click the "Receivers" button on the selected policy. Here you will find a toggle labeled "Should be sent to all upstream members".

  • If it is turned on, the policy will be sent to all suppliers.

  • If it is turned off, you will need to manually select the suppliers who should receive it.

How to sign a policy?

When there is a new policy ready for you, this will be send on email and pop up when logging into the platform. You can skip it, but will be get the same pop up every time when logging in. You can also find the policy under the specific company in the "Supply Chain" tab and "My customers" tab. Here under the column "Policies" you will se a red mark if the are missing a sign of a policy and a green mark if all is signed. Press the red or green mark to get a overview of the policies from the specific company / retailer
