How to mass edit via CSV/Excel file
Be aware of: We always suggest keeping a backup of the data in a CSV/Excel file, so you can always upload that file and overwrite back to the previous version.
You can update all documents with a CSV/Excel update file:
Export your given document type you want to update. Find the green export bottom in the top right on a given document page. We do recommend keeping a version of this export that you do not modify, for backup if anything goes wrong during your upload.
Modify the CSV/Excel file as you wish.
Import the modified file using the "Add Parts" and the "Upload part(s)" bottom in the top right (This bottom is depending on what kind of document you are uploading).
Upload the file.
Consider if you want to link products / parts. With a ID.
At step 3 you can choose the way you want to update your products. Beware: If the IDs match, existing records will be updated and it can only perform an update if there is a ID match (you cannot update documents, if there is missing and ID. The system needs an ID to identify). You have to select the column with the product ID in the uploaded file and match it with an ID type in our system to perform updates. You now have 3 options:
Overwrite all existing data with new data. With this you overwrite everything.
Overwrite only mapped columns. With this you overwrite only mapped columns. If you for example only want to update materiales, only map the materials column.
Add new data to existing data. This function add new data to existing data.
Update existing data, and if not found, add new data.
Add as new market / language (see more here on this function).
Now select the country and language to which the new data should be imported. It is important to choose this correctly, otherwise you risk importing the data into the wrong language layer.
Now map the columns. Keep ind mind you always need to map the attributes with "*". For example the "Name" attribute.
Import the file. You will get all the results and info at the end. This info can you download as a file and it will also be visible in the "Reports", so you can find it at a later point if necessary.
Press Show details to see the finished result of the import.
If a document failed in upload and it states "Document not found / Couldnt identify document". This means that the ID you set for identifying could not find any match, so it failed due to not being able to locate identify the right document.
Keep in mind: the CSV format does not handle ΓΓΓ etc. Get around this by not exporting and importing the name (only ID etc.), so you dont overwrite anything. We recommend using Excel files for a more user-friendly experience.
How to mass edit within the system
This can be done on any given document type.
Find the list overview page on the preferred document type. For example products or parts.
Use the check mark on the left option on each row or mark all rows with the check mark at the top.
Now press the green "Action" bottom.
Here you find several actions:
Delete
Change Status. Change the status for all at once.
Change data model. Change the data model for all at once.
Edit. Here you can choose:
To mass edit if you want to update the same attribute, with the same content across multiple products.
To sequential editing, if you want to update the same attribute, with different content across multiple products.
Compare. Get a view of each product and its attributes to compare them with each other.
Channel synchronization settings. Mass edit what channels these documents are sync with.
When uploading via CSV/Excel I cannot go next from the mapping step?
If you are stuck in the mapping and you can not go to the next step. This is probably due to missing mapping the "Name" attribute. This need to be mapped before you can upload a file.
