Guide on how to implement EU TRACES

In connection with this, you must have mapped out whether you are an operator or distributor, as this has an impact on the degree of integration with EU Traces.

Create login on EU TRACES

You must have set up your business profil on EU Traces. Here we refers to EU's guide regarding EU TRACES (Link)

  • Do you encounter this error message when creating: "A serious error has occurred in the application: Cannot read properties of undefined (reading 'length'). Check the logs for more information."? Then you should contact EU Traces at: sante-traces@ec.europa.eu and inform them about the error, as well as provide your username and company.

Connect with EU TRACES in prduct.com

  1. Open prduct.com.

  2. Go to the connections tab.

  3. Go to the integrations tab.

  4. Find EU TRACES on the list.

  5. Toggle the subscription switch.

  6. Go to the settings of the integration.

  7. Fill in username and password. Username is the same as you use for logging into the platform. The password is a Authentication key you find in the EU TRACES platform.

  8. You are now connected.

How to find the Authentication key for the integration to prduct.com

  1. Go to the EU TRACES platform.

  2. Choose the "Actors" tab in the top left.

  3. Choose individuals/users.

  4. Search for your own user.

  5. Your user should appear on the list, click it.

  6. Scroll down and find the Web Services Access box on the right. In here you find the Authentication key. If there is not setup any Web Services Access. See the guide below.

How to activated Web Services Access and get a Authentication key?

If you donโ€™t already have access to the TRACES Web Services and an Authentication Key, you need to contact EU TRACES support for this information.

  1. Send an email to: sante-traces@ec.europa.eu

  2. Use this template as your message:

    Subject: Request for Web Services Access and Authentication Key

    Text: "Dear TRACES Support, We are currently testing the EUDR Acceptance and integrating with the platform prduct.com via API. To proceed, we require access to the TRACES Web Services and an Authentication Key. Could you kindly assist us in setting this up? Company name: [Insert your company name] EORI number: [Insert your EORI number]"

3. Then EU TRACES will get back to you with the relevant information.

How to make your account a "EUDR Authorized Representative"

  1. Go to the EU TRACES platform.

  2. Choose your e-mail in the top right.

  3. In the pop-up find the given company under "Available profiles".

  4. Scroll down to the last section called "EUDR".

  5. Here is a list of activities you have access to. You can have access to the three possible EUDR activities (Operator, Authorised Representative, and Trader).

  6. Click "Add Activity" and choose "EUDR Authorized Representative".

  7. Now add "Valid dates" for the activity and press Save in top right corner.

  8. The "EUDR Authorized Representative" should now be on the list activities and have the status Valid. If you are encountering problems we refer to EU TRACES.

How to find the DDS in EU TRACES

  1. In the EU TRACES platform, go to the documents tap.

  2. Choose the "Deforestation" tab.

  3. Here you have a list of DDS. You can scroll the list or search with the reference number.

How to check that the EU TRACES integrations is setup correct?

Keep in mind: You need to be "EUDR Authorized Representative" before you can create DDS within EU TRACES. We recommend to check the following when testing the EU TRACES integration:

  1. That new DDS lands correctly in the platform.

  2. That the information on the DDS are correct and the same as on the batch in prduct.com.

  3. Try to both submit, amend and retract a DDS and check this happens in both EU TRACES and prduct.com.

Errors when sending DDS from prduct.com to EU TRACES:

"Some business rules are not met": This is often due to HS-code on the product not being affected by EUDR. Check for wrong HS-code.

"Geo locations not valid. Reason: In a Poloygon all the linear position must be closed": The GPS Coordinates of the Poloygon need to connect as a closed polygon. The first GPS coordinate should match the last.

"You are not authorized to submit this DDS": This error message is due to missing authorization within the TRACES platform. Your user has to be properly validated as an "EUDR Authorized Representative". See the guide above on how to.

"Country of production should be in list": This error message is caused by the "Country of production" on the product. It must be one of the following:
at, be, bg, cy, cz, ce, ck, ee, es, fi, fr, gr, hr, hu, ie, it, lt, lu, lv, mt, nl, pl, pt, ro, se, si, sk, xi.
