  • Dynamic Ticketing

    • Add a flat amount to your Gross Revenue using Dynamic Tickets! Check out this article in our Help Center for more information on using Dynamic Ticket Tiers.

  • Bug fixes:

    • We fixed a bug which was causing sync issues with the Google Calendar integration

    • We fixed a bug which was preventing Hold level changes from the calendar on new events

  • Ticket table: We made some updates to the ticket table for smoother data entry!

  • Custom Fields: Enhanced Data Tracking (EDT) fields can now be set up as a "Currency" data type with a currency symbol ($) when they are configured by your Client Success Manager.

  • New Variable Cost Type: There is a new type for “Percentage of Adjusted Gross” in the Variable Costs section of Prism! Any costs calculated after fees but before tax can now be automatically calculated in Prism instead of added to Fixed Costs. This will also factor into breakeven accordingly.

  • Templates: We've enhanced the flexibility of templates! There is now the option to either "add" or "overwrite" information when applying a template to an event, specifically for contacts, fixed costs, variable costs, and tasks.

    • The updated "apply template" modal now includes toggles for each section, which can be set according to your preference and saved at the template-level for future use.

    • This allows for more customizable event setups, such as combining different fixed costs for a venue and an artist (without needing to create a separate template for each unique combination), or adding rental packages on top of standard expenses.

  • Bug fix

    • We fixed a bug where the External Breakeven number for the Ticket Average tier wasn't matching the per tier number when Promoter Profit was involved (even though the price was the same).

  • Action Required:

    • A bug fix was released today that resolves an issue with ticketing data rearranging incorrectly. Please double check any flat per-ticket fees, flat per-ticket additional revenue, or flat per-ticket variable costs in your Event Templates, as they may need to be reassigned to the correct tier. Visit your Org Settings page to check your Event Templates.

  • Ticket table updates

    • We resolved an issue where the sellable number would sometimes appear in the wrong row if ticket tiers were re-ordered.

    • When you delete a ticket tier associated with a fee, variable cost or additional revenue in a template, the associated item will no longer be deleted.

  • For See Tickets Beta

    • We've made the following updates to the See Tickets integration (currently still in beta since it was turned off in July 2023):

      • Past events are now accessible

      • The issue with comps pulling in as $0 tickets and duplicating existing tiers has been resolved

      • Discounts will now appear in Prism and be deducted from the Gross

  • Custom Fields

    • Advanced Custom Fields can now display as currencies! Please reach out to clientsuccess@prism.fm for assistance in setting up Advanced Custom Fields.

  • Bug fixes

    • Cleaned up some formatting for number tables on smaller screens, including mobile.

    • A bug that caused allotments in ticket tiers using ticket integrations to display incorrectly as been resolved. Please see our article on Ticketing Integrations for more information.

  • Bug fix

    • The csv download button in the Events tab in Prism’s reporting section is now working again.

  • Rentals update: The Facility Fee set at the venue level will now automatically apply to Rental events. Previously this was only the case for Regular shows with Talent deals.

  • Attendance: The input fields for Estimated and Actual Attendance are now text boxes instead of a table for a sleeker design.

  • Cleaner reporting:

    • If “Include in Net Gross” is toggled on for a line item in the Additional Revenue table, it will now be summarized on one line in the P&L statement (provided that the naming is consistent across events). So if there are two shows in your search results, each named "Platinum Lift" for $3000, the report will combine them and display a total of $6000.

  • Bug Fixes:

    • We fixed a bug with our PreKindle integration. Now the 'Rebate' field is accounted for as additional revenue in the internal settlement and the 'Gross Tickets' field is unaffected by the 'Rebate' field.

    • We fixed a bug where Run of Show items created within the Deal Builder would remain even after a ROS template was applied to an event. Now the template will properly overwrite all ROS items, regardless of whether they were created within the Deal Build or the ROS tab.

  • Breakeven:

  • Bug Fixes:

    • An issue impacting Tax Withholdings on Tour-level Artist Deals has been resolved.

    • An issue preventing Venue Contacts from being deleted has been resolved.

December 20th, 2023

  • Tours updates:

    • Artist Guarantees are now editable from the Tours table! Use the new ‘Edit’ button to enable editing, and click ‘Done’ to save your changes.

    • When creating events, the ‘Save and New’ option on the Tours table allows you to Save your event and immediately create another. Clicking ‘Save’ will Save your event and take you back to the Tours table.

  • Filters: Venue City and Venue State filters are now available on the Event List!

  • Jump to Event: Search results are now ordered according to date, from oldest to newest

  • Bug fix:

    • We fixed a bug in the Payment Tracker where the “Settlement” payment was not switching to “Upcoming” upon confirmation.

December 13th, 2023

  • Tours:

    • Events can be created from a tour's 'Events' tab without selecting a date in the calendar (MADs), so that tours can be routed prior to dates being fully locked in

    • The option to 'Remove All' selected dates will appear once one or more dates have been selected on the inline calendar

    • The option to select the 'Best Available' hold level has been added as a checkbox below the Event details:

  • Breakeven:

    • Additional Revenue line items with the “Include in Net Gross” toggles on will now factor into external breakeven

  • Bug fix:

    • We fixed the error that was displaying when unlinking a Shared Hold

  • Bug fix:

    • An issue has been resolved that caused deselected events to appear on Reports.

  • Rentals:

    • We no longer hide the Rental tab when a show is marked as “Settled”.

    • Bar minimum will no longer display on rental pdfs if the value is 0 on the deal.

  • Venues:

    • When a venue is inactive, “(Inactive)” will now show on the tours event list and the header of the event.

  • Bug

    • We fixed a bug where reports would display “NaN” when an event had an Enhanced Data Tracking calculated field that was zero divided by zero (0/0). Now it will display 0 instead.

  • Deal Tracker:

    • There is a new status available in the Deal Tracker for “Inactive.” Use the dropdown in your Org Settings to toggle this status on or off.

  • Venue City filter: The city field is now sorted alphabetically by city name!

  • Tours

    • Events can now be created from the 'Shows' tab within an existing tour. Choose the status of the event then add an event name, venue, and select the date(s) from the inline calendar:

  • Bugs

    • We fixed a bug that allows announce, onsale, and presale dates to be more clearly visible on the calendar.

  • Reports

    • Reports will no longer load the last loaded Report in P&L, Payments, Deal Tracker, or Events Reports. To load a Report, first set your Filters on the right-hand side and click “Run Report.”

  • Eventbrite update: We made an update that will improve load times and reduce errors with the Eventbrite integration

  • New filters in reports: Say hello to some new filters in town! With this update, you can filter by Venue City and Venue State on the P&L, Deal Tracker, Payments Tracker, and Events tab in Prism reports.

  • Bugs:

    • We fixed an issue where ticket tiers were displaying incorrectly on the ticket tab if they had been reordered and a new tier had been added.

October 31st, 2023

  • Ticket Table Update: On the Ticket Table in the Revenue tab, “Tax backed out” has been reordered to appear before “Ticket fees.”

  • New setting for versus deals: For accounts with this setting enabled, Vs deals will now show the bonus amount as a negative when the show is a loss, and also show the bonus amount with a strikethrough in cases where the Artist Guarantee is higher. If you’d like this setting enabled, please contact clientsuccess@prism.fm.

  • Document update for clarity: On Prism documents, dividers have been added above Adjusted Gross, Net Gross, and Net Revenue to Split for additional clarity.

  • Bug:

    • We fixed a bug where holds weren't being cleared from the calendar if the event had been archived. This caused an error when new holds were placed on the same date because the hold wasn’t available or visible. Now, when an event is archived, the holds will be removed so new ones can be placed without an error.

      • Note: If an event with holds is un-archived, the holds are un-deleted, and any new holds added after are moved down a level.

  • New data chip! Ticketing URL is now an available data chip that can be used on the Advance tab and in email templates.

  • Activity log: Whenever a user edits a Co-Pro expense, the activity log will now say "[user] updated a fixed expense"

  • Tours

    • Users with the appropriate permissions can now apply templates directly from the Tours table in the ‘Shows’ tab of a tour. Click the three-dot menu from the list or table view to apply event templates to the individual events in the tour.

    • The ‘Partner Deals and ‘Talent Deals’ sections of the template will be de-selected by default so they don’t interfere with any tour-level deals.

    • When any holds that are a part of a tour are clicked on the calendar, there is now a 'View Tour' link in the popup window, next to the existing 'View Event' link.

    • The last template applied to the event will be shown in its own column:

  • Pre-settlement fees that have the same name and percentage will be summed and consolidated as a single row in the tour summary:

October 19th, 2023

  • Bugs:

    • We fixed a bug where users with the "View Confirmed" permission toggled on could not access events from the calendar unless they also had the "View Past Events" permission. Now users can successfully click on a show from the calendar without needing "View Past Events" toggled on.

    • We fixed a bug where editing a Note on the Payment Tracker for a deposit automatically set the “Paid” amount to $0, thus removing it from the Settlement sheet. Now users can edit notes on deposits without the paid amount changing.

  • Email notifications: The venue name, artist name, and links to the event and holds listed will now be included in the body of the email notification when any of the following occur:

    • A date changes

    • An event is archived

    • An event is deleted

  • Jump to Event: Users can now search by venue via our Jump to Event feature! This ticket will allow you to either search by artist name or venue name, but not both at the same time e.g. You’d have to search for either P!nk or Barclays, not P!nk Barclays.

  • Venue picker update: We’ve added a “Show Inactive” checkbox to the venue picker on reports (Deal Tracker, Payment Tracker, P&L, Events), so you can determine whether or not you’d like to include inactive venues in your searches. Prism will remember your last selection across all reports. This will help declutter the list if you have many inactive venues, and allows the flexibility of including events on inactive venues in reports if needed.

October 5th, 2023

  • Table header update: Table headers will now stay visible at the top as you scroll through a report!

  • Bug:

    • We updated the Payment report for more accurate results because rentals can be positive or negative depending on which way the money is flowing:

      • Summary cards at the top of the report will be hidden if rentals are included in the search criteria

      • Rental numbers will be excluded from the summary cards at the top of the report if all events are included in the search criteria

  • We fixed an issue in the Payment report where the total paid amount was not accounting for settlement amounts that did not have a "Paid Amount"

October 3rd, 2023

  • Rentals Updates:

    • We added a new “Net” section to the External version of the budget summary on ticketed rental events to show the external Net profit on an event.

    • We renamed the “Show Profit (Manual Room Fee)” field on the budget summary to “Net Sales (Manual Room Fee)” to make the description of the number more clear since we added the field referenced above.

    • In reports columns, Net Profit (Offer) and Net Profit (Settlement) fields will change for rentals and will now remove the rental payout to more accurately display the external versions of the Net Profit for those numbers.

  • Etix Fees Update: In collaboration with Etix, we’ve updated the way that Type 2 Fee Components are considered in Prism. Starting with events that are linked today and onward, Type 2 Fees that are "Not Auditable” will now appear in the Rebate column of Prism. To adjust how any Price Components or Fee Components appear in Prism, please check out our Etix documentation and work with the Etix team to adjust your settings.

  • Prism emails: We updated the email address that all Prism emails are sent from to team@prismemail.com. Last month we made a change that had some emails coming from team@prismemail.com and some from team@prism.fm. Emails from team@prism.fm will be reserved for things like our Prism newsletter. This will avoid some issues we were encountering where users accidentally unsubscribed to all Prism emails and were missing out on updates they wanted to receive.

  • Bugs:

    • We fixed a bug where the “Offer Budget” column was not copying over to the “Settlement” column upon confirmation if the value was changed after a template was applied.

    • We fixed some issues related to inconsistent sorting in reports

  • Tours Table - You can now toggle between a List or Table view in the 'Shows' tab of a tour!

    • In the List view, click the 'Expand' button to see how each show in the tour is performing at a quick glance

    • In the Table view, click the familiar 'Columns' button to pull additional information and data points into the table, sorting by columns, as needed

September 26th, 2023

  • Adjustable Column Widths in Reports: All columns in your Prism reports can now be adjusted to custom widths, using the dynamic borders between your columns to fit more data in your viewable area without scrolling.

    • Hover your mouse over the border until the cursor changes to a double-sided arrow

    • Click and drag the border to the left or right to adjust the column width as needed, to optimize your reports and display more data on any report

    • Hover over the 'information' icon and any partially hidden column headers to view the full information:

    • To resize all columns simultaneously, hold the 'cmd' or 'ctrl' key, then click and drag any of the column borders to the desired width. This will condense multiple columns at once to help fit as much data in your screen as possible.

    • To revert all columns back to their default widths, hold the 'cmd' or 'ctrl' key and double-click on any of the column borders:

  • Adjustments: On Artist Deals and Co-Pro Partner deals, there is a new visual cue to see when adjustments have been made

  • Send simple docs: The option to send simple docs directly from Prism is now available! Sending a simple offer will automatically update the Deal Tracker status to “Offer Sent”.

  • Bugs:

    • We fixed the deal errors that where appearing on duplicate events

    • We fixed the issue where the “csv” download button with all columns on the "Show Events" list wasn’t functioning properly

  • Bug

    • We fixed a bug where hold times would not save in the “Manage Holds” section. This fix also means that confirmed events on the same stage, on the same date, will now order themselves on the calendar based on time!

  • Save Dates as Single Events - The new checkbox at the bottom of the event builder will create an individual event on each day that has been selected on the calendar, instead of placing multiple holds for a single event. Turn this ON to create the single events on each day -- great for:

    • Creating multiple events as part of a tour at once

    • Creating recurring events or residencies over extended periods of time

  • Prism Emails: We updated the email address that Prism emails are sent from to reduce the chances that they will be flagged as spam.

  • Activity Log: The activity log will now show when a deal status has been updated, as well as the user who updated it!

  • Ticket table: We improved how often the "Ticket saved" pop up shows up when editing ticket tiers.

  • Bugs:

    • We fixed a bug where the Spotify search dropdown wasn’t showing the most relevant results at the top

    • We fixed a bug where the genre column wasn’t displaying in some reports

August 29th, 2023

  • User Email Notification Settings - A new toggle has been added to the bottom of the permission list for user roles. This permission will allow users to customize the settings in their 'Notifications' tab to receive email notifications (only for venues that they have access to), if any of the following changes are made on the calendar:

    • Event Created

    • Event Deleted / Archived

    • Holds Added / Removed

August 22nd, 2023

  • Dark Mode: Users can now select Dark Mode as their default Prism setting by using the toggle in the bottom-left corner menu. Checking System Theme will default Prism to match your computer’s system settings.

  • The Event Settings have a new home! Access your Event Settings by clicking the new gear icon in the top-right corner of any event.

August 16th, 2023

  • Do not announce: There’s a new option in your event settings that allows you to mark a show as “Do not announce”. The Announce Date field in reports will display the text “Do not announce” to ensure that information about shows is not being announced too early (or at all).

August 2nd, 2023

  • Jump to Event: More information is now packed into the Jump to Event feature. View the Event Name, Status, Venue, and other details from the pop-up window.

  • Contacts can now be associated with Venues! Admins and users with permission to create and/or edit venues can add or remove related contacts to a venue record. Venue contacts will display as a column in the venues table. There will also be a section for “Venue Contacts” and “Venue Contacts by Role” in the contact picker on the to/cc/bcc fields of the email builder when sending documents out of Prism.

  • Edit Rental Deals: You can now use the Edit Deals button on Rental Events to edit Rental Agreements! As my grandpa used to say, “Back in my day, we could only edit Rental Agreements when they were in a Hold status!” Well gramps, welcome to the future.

July 26th, 2023

  • We released an update where users without the "View Holds" permission will no longer be able to see numbers denoting hold levels after the "H" on the calendar.

  • Bug fix: An update for the Google Calendar is available to resolve an issue where some events were not displaying in Google. To ensure your Google Calendar is accurate, users should disconnect and reconnect their integration. To update your connection, please follow the steps in this article to reconnect your Google Calendar integration.


July 19th, 2023

  • For clients with the Payment Tracking feature, they can now track Deposits' “Paid Amount” in the Payment tracker when the Paid Amount is different from the original deposit from the offer. When you mark any deposit as “Paid” you will see a new field called Paid Amount that is editable if needed.

    • There is also a new Payment status called “Not Paid” in the Payment Tracker. Mark deposits as Not Paid in cases where the deposit was waived or never paid and the “Paid Amount” will automatically set to $0. The settlement will not back out the deposit amount from the final payout when a deposit is marked “Not Paid.”

    • Note: No functionality is changing with how “Untracked”, “Upcoming”, and “Overdue” deposits are factored into settlement - if a Deposit is marked as any of those statuses, it will be deducted from the final payout at settlement. To adjust that, change the Payment status to “Not Paid.”

    • Once a deposit is marked as Paid the Paid amount will lock in. Meaning, if the deposit was set up as a % of the guarantee and the guarantee is edited after the deposit was marked as paid, the paid amount will not change.

  • We released a small but mighty update to the venue list! You can now find all shows at a particular venue with a quick link to the Deal Tracker and Events tab in your Reports. Just click on "Deal History" or "Event History".

  • There’s a new column in reports called “Support” that displays all artists listed as support deals on the shows

  • We’ve added two new permissions! “Create Venue” and “Update Venue”. Users with the “Create Venue” permission are able to create a venue (e.g. when adding a show to the calendar), but they can’t update information on existing venues. Users with “Create Venue” and “Update Venue” permissions are able to do both.

July 7th, 2023

We made an update to the Etix integration that standardizes how the Gross Ticket Prices, Taxes, Fees, and Rebates are calculated in Prism. Depending on the configuration of Price Components in Etix, the way Gross Ticket Prices, Taxes, Fees, and Rebates are represented in Prism and on settlements may change as a result of this update on future events.

The extent of the changes are as follows:

  • Certain Price Components will now be added to the Gross Ticket Price

  • Only Fees added to Prism in the Facility Fee field or the Pre-settlement fee table will be deducted from the Gross and displayed on the internal and external settlement

  • Certain Price Components will now be considered Rebates and only display on the internal settlement

  • Tax from Etix will only appear in Prism if it is “Auditable”

This article details exactly how Taxes, Fees, and Rebates are calculated and displayed in Prism based on Etix Price Component configurations.

  • Bug Fix: An issue where MADs were not appearing in the Jump to Event search has been resolved.

  • Permissions have been updated for scenarios in which non-admin users upload files or Save Versions of offers and settlements. Previously, when a user without admin permissions used the “Save version” option to save a file to the files tab, they would not be able to view the file on the Files tab, only admins could. Similarly, when a user without admin permissions uploaded a file directly to the files tab, they would only be able to view the file if it was “Visible to all” or they had given users with their same Role access. Today when a non-admin saves a version or adds a file, they will be able to view and download the file as well.

  • Bug fix: For any account with Mail Merge, previously, any email sent via Mail Merge cc’ed the sender on the email. Now if the “CC Me on Each Email” toggle is off, the sender will not be cc’ed on the emails.

  • The Ticket Table in the Revenue tab has a new look! Additionally, users can now sort, reorder, and download tickets as a .csv. Use the new Edit button to make changes in the ticket table, and lock the changes by clicking Done.

June 9th, 2023

  • When applying an Event Template to an event, the contacts associated with the template will now be added to the contacts tab and any existing contacts on the event will remain. Before this update, when a template was added, the contacts from the template would overwrite all of the existing contacts on the event.

  • The copy holds clipboard has been updated to include text that says “Any holds not listed are NA” for clarity. If you would like for your holds clipboard to not display the “Any holds not listed are NA” text, please reach out to clientsuccess@prism.fm.

  • Bug fix: An issue where additional support budgets were not displayed in the Total Artist Payout (Offer) and Total Artist Payout (Settlement) number in reports has been resolved.

  • You can now use the keyboard shortcut Cmd + Enter or Ctrl + Enter to apply filters on reports!

    • Cmd +Enter or Ctrl + Enter will also work when creating a new contact to save the contact or when creating a new venue to save the venue.

  • Tours is now available for all Prism users. Use tours to build one offer and settlement across multiple events and track costs and tickets separately by day. Learn more about using Tours and multi-night runs.

  • Archive Events is now available in Prism events! Check out this article to learn more about using the Archive feature in Prism.

  • Users can now filter by Event Status in Profit and Loss Reports. Previously, Hold statuses were excluded in Profit and Loss Reports and are now optional in the filters.

  • When the "Detailed Copy Holds" setting is switched on, we now display the venue's City and State instead of the full address in the Copy Holds text.

    • If the venue has no address, then there will be no location info to display

    • If the venue is missing either City OR state, then the full address will display

  • We fixed a bug in the Advance tab where the cursor jumps to the top of the text box when a large amount of text is pasted in.

  • Connected Show: Automated Import launched today! All offers and settlements generated in Prism promoter accounts now have a share link at the bottom. This new feature enables you to import deal info directly into your Prism account so you build contracts and enter finals faster than ever! It reduces the chance of human error, erodes inefficiencies, and streamlines an otherwise cumbersome process.

  • Admins now have the ability to customize which deal statuses are selectable in the Deal Tracker!

To customize deal statuses:

  1. Visit your organization settings: To start configuring your deal statuses, navigate to your organization settings through clicking your initials in the bottom left-hand corner, and clicking 'Settings.'

  2. Access the Configure Deal Status dropdown: In your organization settings, locate the 'Configure Deal Status' dropdown.

  3. Select or deselect deal statuses: Click on the Configure Deal Status dropdown to view the list of available deal statuses. Check or uncheck the relevant deal statuses to enable or disable them in the deal tracker. The changes will be applied automatically in the deal tracker once you confirm your selections.

  • Canceled Status: There is now a “Canceled” status available on the Deal Tracker to assign to any deal that has been canceled.

  • The character limit for the deal description was increased from 120 to 250! Now you have a little more room to add details on flights, hotels, or other inclusions! The description will appear just under the deal financials on your offers.

    • If you need to save someone’s extension, we still recommend adding that to the Notes field.

  • Bug Fix: We fixed a bug where the Advance text wasn’t saving unless you hit Enter or Space before leaving the page.

  • Bug Fix: An issue causing the first column in a column set to move has been resolved. The first column now remains fixed for a consistent data view.

  • Edit Venue Settings Efficiently

    • A pencil icon has been added to the venue selector dropdown, allowing admins the ability to quickly edit venue settings.

  • We've made a few more changes to the formatting of Prism documents for clean and concise look!

    • Table borders have been removed

    • Some of the spacing was tightened up

Document Updates

  • We've made a few changes to the formatting and layout of all Prism documents:

    • Deal Terms and Additional Terms section headers now have gray borders in order to match the formatting of the rest of the document

    • The "Event Details" and "Event Summary" sections are now swapped so all the math is aligned on the right-hand side

    • For all deals except Flat deals, the Deal header section now includes some clarifying text:

      • "Artist Walkout Potential" on offers and contracts

      • "Artist Walkout" on settlements

    • The "Total Potential Payout" line will automatically be hidden from the Deal header section when redundant i.e. when it equals Total Potential Artist Earnings

  • We’ve added three new settings that your CSM can switch on/off for your Prism account (see all here)

    • Ability to show bonus percentage with corresponding result in Event Summary section (where applicable) e.g. 85% of Net Revenue --- $4,525.24

    • Ability to move both the Event Summary and Event Details below the Expenses section

    • Ability to show the Event Details section on Simple Documents (this will come in handy for festivals and flat deals!)

  • Run of Show items will only display the date next to the first line item of each day. Previously, the date would display next to every line item, even if everything was scheduled on the same day.

Updates to Terms and Text Templates

  • A new type of Terms template is now available on Talent Deals called Additional Terms and Conditions!

    • Many customers have Deal Terms templates for their different venues that include the same legalese in every template. You can now split out the legal language from the show/venue specific language to make updating legal terms much faster! Check out this quick video for an overview of what’s new and learn more about Deal Terms and Additional Terms and Conditions templates here.

  • Deal terms, Advance, and Settlement terms templates within events will now be sorted in alphabetical order.

  • Advance templates, Deal Terms, and Settlement Terms Templates are now all located in a “Text Templates” section of settings. Access them by going to Settings, Templates tab, then click Text Templates. You can also sort by template type by clicking the column title “Type.”

CoPro Updates

When overriding Co-Pro Settlement costs, hovering over the amount will now display the internal value and the artist settlement value for reference.

  • Co-Pro Specific Costs: Expenses in the Co-Pro tab can now be edited or removed from the Co-Pro settlement directly in the app if you are settling with partners on amounts that differ from the default, actual internal values.

  • The deal builder now accommodates a description for any deal type (including flat deals) with an increased limit of 120 characters. Now you can add more info on flights, hotels, or other inclusions! The description will appear on its own line on your offers, just under the deal financials.

  • Merch Deal and Age Limit data chips are now available in email templates to include in document emails from Prism.

  • Bug fix: A bug that caused incorrect currency conversion amounts to be displayed in the Payments Table of Events has been resolved. Payment amounts will now reflect correct conversions in the Payments Table.

  • You can now add Artists to Rental events to keep track of artists that have played at your venue. On the “Talent” tab of each Rental event, you can add additional artists to track other headliners and support.

    • Once you’ve tracked Artists on events, you’ll be able to report on artists using the “Headliners” column and by searching for them in Reports.

  • Bug fix: An issue where target dates were not saving on the calendar has been resolved. Applying target dates to calendar events should now save correctly.

  • Bug fix: An issue was resolved that caused Custom Field toggles to not save correctly.

  • We updated our ticketing integration functionality with this release! Below are updates that improved all integrations.

    • A bug was fixed where the currency on the manage tickets page for ticketing integrations was showing as CAD instead of the event’s currency

    • The error messaging was updated to be more descriptive when a ticketing integration is not loading an event.

  • The Etix integration has been updated to now give you the option to choose between linking ticket tiers by sales channel or combined ticket tiers that summarize tickets by tier. To learn more about this update visit this article.

  • Bug fix: An issue was resolved where Additional Internal Revenue was not displaying totals in the Summary of the Internal Settlement on certain events. ‘Total Additional Revenue’ will now display in the Summary on the Internal Settlement.

  • Contact Roles can now be selected in recipient fields to email Offers, Advances, or Settlements to all contacts with the same role on an event. Users can select from all Prism contacts, specific event contacts, or event contact roles in the recipient dropdown.

  • Contact Roles can also be applied to email templates, in addition to individual contacts. Contacts will populate automatically when the email template is used on an event.

  • Users can now filter by Event Created Date on P&L Reports and Deal Tracking to see reports based on the event’s creation date. This allows users to create views such as all Deals created in the current month, and custom reporting on events created during specific timeframes.

  • In the Show Events Report, users can now select “Ticket Average Breakeven (Budgeted)” as a column to display.

  • Custom Fields are now available to select as columns in the Deal Tracker and Payment Tracker reports.

  • You now have the option to include Additional Revenue in the Net Gross to be split with the artist or renter. This is useful for things like dynamic pricing lifts that need to be factored into the artist or renter payout. Check out this article to learn more.

  • Bug fix: An issue was fixed where Additional Support added on a Co-Pro headliner deal was not displaying as an expense line item. Additional Support expenses will now display as line items in the Co-Pro tab of the event.

  • You now have the ability to search and export an Event ID for each event from P&L, Deal Tracker, and Payments reports. The Event ID is a unique number assigned to each event and can be particularly useful for data analysis in Excel. You can also view the Event ID in the URL for each individual event after app.prism.fm/event/

Bug fixes

  • We fixed an issue on the Deal Tracker feature where the "Include MAD" (Mutually Agreeable Deals) checkbox didn't return MAD results when filtering by venue as well. Now the results will include MAD deals when the box is checked and the search is narrowed down by venue.

  • We've released a SeeTickets integration fix for shows with tax on top where the tax is not removed from the gross and can be calculated correctly in Prism

  • We've released an ETix integration fix for shows where prices change on a ticket tier. Price changes will show up as new tiers in the list of tickets that can be synced to Prism. If price changes are made after a show is linked, you can "Manage Ticket Sync" by clicking on the three dot menu next to the "Refresh now" button in the Revenue tab. The change also adds @(price) next to the tier name text so you can easily see the price difference between other tiers with the same name.

    • Event Created Date - Date and time the event was created

    • Event Last Updated - Day and time the event was updated in Prism

  • Changes to offers, settlements, and contracts that will better align with industry standards are now live in Prism! The main highlights are below but click here for detail on everything that changed.

    • The Headliner Offer section has been reformatted to provide clearer information

    • Some terminology has changed in the Event Summary section and throughout the app for a more fine-grained understanding of the financials (see full glossary here)

    • Some sections, as well as elements within sections, have been reordered to highlight higher priority information

    • “Per Ticket Fees” and “Net Price” are broken out in the ticket scaling table on documents if there are any

    • You now have more options for customizing your documents. See full list of all settings you can show/hide for your organization at the bottom of this article.

  • Ability to optionally include Age Limit on offers. On the Talent tab, we added a toggle to the Age Limit to hide Age Limit from Offers and Contracts. If the toggle is on, the Age Limit will appear On Offers, Contracts, and Advance documents, if it is Off it will not. Note that for existing events that were All Ages events, turn on the toggle for “All Ages” to appear on the offer.

  • More flexible Adjustments

    • For Venues/Promoters: We are adding functionality to the adjustments feature to allow the option to include an adjustment in the Split Point and the option to make the adjustment external-only, which will be helpful for things like buyouts. Read more on adjustments here.

      • NOTE: Any existing adjustment that was built as a bonus or charge before this release will increase or decrease both the external payout on the external settlement PDF and internal payout in the internal settlement. You may choose to update existing adjustments and events using the new functionality but rest assured that no calculations will change on your events that you made before February 2022.

  • Ability to include multiple retroactive bonuses

    • We’ve added the ability to add multiple retroactive bonuses to any Door, Plus, or Versus deals in the deal builder!

    • Offers and Settlements will now highlight retro bonus terms and final bonus amounts more clearly

  • As requested, retro bonuses will more intuitively calculate at instead of after the chosen % sell through or # of tickets sold. This means you can now enter “100% sell through” for bonuses that are intended to kick in at sellout (as opposed to 99%, previously), or “at 500 tickets sold” instead of "after 499 tickets sold."

    • NOTES:

      • For events created before this release, the behavior of bonuses that were triggered “after” a % sell through and/or tickets sold will be preserved.

      • For events created after this release, bonuses will kick in at the entered % Sell through or # of Tickets Sold

      • In Event Templates, admins can delete previous bonuses set to take effect “after” the entered percentages and ticket numbers and re-create them to use the new "at" behavior

  • Completely redesigned Run of Show is now available optionally on offers. Read more about the redesigned Run of Show here.

  • You can now reorder costs from within the costs table from within an event - go wild!

  • Tours can now be created with non-USD currency. Tours will use the default currency of the venue from the first event added to the Tour.

  • There is now a new permission toggle for “Edit Rental Deal” which determines whether or not a user can see the “Promoter” tab on rental events. This allows for more control when it comes to granting access to financials.

  • We’ve made some updates to the “Taxes & Fees” that will provide more detail in various sections of Prism (internal settlement, documents, budget summary). You’ll now be able to see an amount and type for facility fees and event fees ($2.00 per ticket sold). In the screenshot below you'll see how it looks on the internal settlement:

Merch Rate and Age Limit are now editable fields that will pull into your advance

Merch Rate and Age Limit are now editable fields in the deal builder and on the talent tab. They will only feed into the advance tab and advance document currently, with plans to include on offers in the future. Both of them can be added to your templates!

Merch Rate

In the deal builder there is now a “Merchandising” option which can be toggled on to specify merch rate (hard and soft), as well as the seller (artist or venue). If the toggle is kept off (which is the default), Merch will not appear on the advance.

Age Limit

In the Talent tab there is now a new section called “Event Details” which includes the option to set an “Age Limit”. If the Age Limit field is left completely blank (which is the default), the advance will display “Age Limit: All Ages”.

Name change from “Outside Promoter” to “Rental”

New month. New name. “Outside Promoter” has been renamed to “Rental” on the hold builder and event templates.

You heard right! You now have the ability to edit what was previously the "Promoter Name" and is now the "Renter" in your event settings on a Rental Event.

Ability to search venue picker when creating an Event

Start typing in the venue picker and Prism will filter down the venues and stages available. Selecting a venue will automatically include all relevant stages at that venue, but selecting a specific stage will keep only the specific stage. The “Create Venue” option now has the same look and feel as the “Create Contact” option.

Deal one-liner now appears in reports and the column picker is searchable

The title says it all! You can get a quick view of your headliner deals from the event list in reports, and if you already know what you're looking for, you can now search through the column options instead of scrolling through the list.

Add artist at event creation

The "Artist Name" field is now available from the moment you create a hold or confirmed event!

Start typing in the artist's name and make a selection via the Spotify integration. (If the artist is not on Spotify, type in their name and select the "Not in Spotify" option at the bottom of the dropdown list). The Artist Name will auto-populate the Event Name field and will automatically pull into the talent tab on the event. You can edit the Event Name as needed.

Add a specific due date for deposits

You can now add a specific deposit due date in the deal builder (e.g. Nov 3, 2021)! This will come in handy if you need more flexibility beyond adding a due date relative to the event date (e.g. 7 days before event).

Simply select the "Specific" Due Date for the deposit in your deal builder, confirm your selection, and choose a date from the picker. The option to select a "Relative" Due Date for the deposit and enter the number of Days before the event will remain the default option.

Note: The "Specific" selection means Prism won't automatically update the date if the event date changes, so the deposit due date will require manual updating in this case.

Add deposit

Mark date paid on deposits in Payments Tracker

Clients on Silver, Gold, and Platinum subscriptions with access to our Payments feature will now be able to enter a “Paid Date” for deposits alongside any pertinent notes! The venue name and event date are now also available in your payment report.

Only require "Name" in order to save a contact

For a moment there "Name" and "Email" were required fields in the new contact form. Now you can add a contact quickly with just the "Name" field populated and come back to add more details another time.

Estimates Added to Reports & Internal Settlements (v2) - Hold vs Confirmed

You can now compare and export your internal estimates on an event to the sellout potential on an event that's still a Hold!

When an event is unconfirmed (hold)

The toggle labels will show Estimated and Potential on the Internal Settlement tab. Estimated numbers are calculated off of Internal Estimated costs and Estimated Sales, while Potential is based off of Internal Estimated costs and maximum Sellable tickets.

When an event is confirmed

The toggle labels will show Estimated and Actual on the Internal Settlement tab. Estimated is still calculated off of Internal Estimated numbers and the Actual toggle is based on Actual Internal costs and Sold tickets.

Track Withholdings Directly within Prism

Need to account for state or federal tax withholdings on your offers or settlements? Say good-bye to manually tracking these deductions with Adjustments. Now, whenever you create/edit an artist deal, you can activate this toggle to add a withholding percentage, with a minimum threshold and due date, to your external documents.

Duplicate Events with a Few Clicks

Sometimes, it’s all about the little things… Instead of using Event Templates to copy over events, you can just click on this button to clone events for a new date!

Estimates Added to Reports & Internal Settlements (v1)

Now, both on the P&L Reports page, as well as any event’s Internal Settlement page, you can flip between all of your Estimated and Actual figures (previously was only Actual). We’ll be updating this feature again during our next cycle.

Delete Contacts from the Contacts Dashboard

Accidentally add a duplicate contact? Fret no more, as you can now delete contacts from your Contacts dashboard (note that this will also delete any association that person has had with events).

Announce Date & Estimated Net Profit Added to Reports

You can now add Announce Date & Estimated Net Profit as custom columns to any report! Simply go to Reports, select your filters on the right, and then click on "Show Events."

Then, click on "Columns" and look for Announce Date and/or Estimated Net Profit. These values will pull from the Event Settings page and the Revenue/Cost pages respectively.

  • We fixed an issue affecting the ability to link past events to ticketing integrations

Email Offers/Settlements Directly from Prism

Now you can send out documents directly from Prism without leaving the page! In the menu next to the green preview button, you'll find a "Send Offer/Settlement" button.

Once you click on that, you'll have the ability to draft and email this document to contacts of your choosing, as well as add additional files to your note. You'll be automatically added on CC and whatever file you sent will be automatically added to the Files tab. Read more about offers here.

Bug Fixes

  • We also fixed an issue affecting Task emails from sending out. You can configure the cadence of your Task email notifications by going to Settings > Notifications.

  • We fixed an issue where the font and spacing was off for Deal Terms.

  • We fixed an issue where the calendar display was out of order for stages and hold levels.

Share Avails

One of our most requested features has been the ability to quickly copy/paste avails, much in the same way you always could with the holds clipboard. Now, at the top of the calendar page, you can do just that with this icon:

Update to Outside Promoter Events

We made some changes to the language on Outside Promoter events to make it more intuitive to create rental agreements. All of the functionality remains the same and existing events were updated with the new language.

Update to Promoter Profit on Offers

In the past, Promoter Profit has been listed on all offers, even when set at 0%. Based on your feedback, we created logic such that if Promoter Profit = 0, then it will not render of offers or settlements. Not only does this clean up the page a bit, it also makes the contents more likely to fit on one page.

Multiple Deposits

You can now add as many deposits as you please! Each with their own amounts, types, and due dates - all of which will render on the artist offers and settlements.

Venue Settings Redesign

After hearing people mention they had a hard time navigating our Venue Settings page, we decided to redesign and modernize the experience. It's now easier than ever to manage all of the rooms displayed in Prism and we even have a suggested venue dropdown to simply the process. Plus, you can now export your list of Prism venues, as well as add new venues from the calendar.

New Tax Rate Options

In some states and counties, there are requirements to calculate tax as a multiplier rather than a divisor. Prism now allows you to calculate such tax rates, which can be configured as venue default settings or at the event level.

One Contacts page to rule them all....

Prism has had Contacts at the event level for a long-time, but we've been told that one unified place to manage all of this information would be super helpful. With our new Contacts update, you can search, edit, and create new contact information across all your events. Plus, we even added the ability to export search results to .csv!

Track deposits and artist payouts with Payments

Inspired by one of our most commonly requested features, we've added Payments to Prism. Budget for upcoming payouts, communicate paid payments to your team, and never overpay again!

With this update, the Talent tab on every event page will feature a table at the bottom listing out all deposits and settlement payouts per the artist deals above. Clients on Silver, Gold, and Platinum subscriptions will also be able to aggregate and report on outgoing deposits/payments with Payments Tracking (see below). Reports have been completely redesigned w/ new features

While Prism has had a ton of changes over the last year, our Reports tool was the last component that was still in need of some TLC. Here are some of the things we've added to this page:

  • A fresh, modernized design inspired on the Internal Settlement format

  • Automated genre-tagging for all events with artists added, populated through our Spotify integration. You can now filter your reports based on genre!

  • Majorly upgraded filtering allows you to find exactly what you need in seconds

  • For any report you query, you now have the ability to export the results as a .csv for use in other spreadsheets or platforms

  • Expense line items are now also surfaced in the reporting section like they are in the internal settlement.

  • Drill into events by clicking "Show Events" and customize your results by selecting which columns are represented. This list can also be exported as a .csv, see screenshot below.

  • Tip: Use the new "Show Events" feature in reporting to export a list of upcoming confirmed shows for a particular time period!

Pre-Settlement Fees have moved to Revenue

Due to consistent feedback that Pre-Settlement Fees were difficult to find, we put them somewhere that's more intuitive and easy-to-find: the Revenue page. Anyone with the "View/Edit Tickets" permissions will be able to see this component.

In addition to moving this table, we've also added "Percent per ticket" and "Percentage of Gross" as fee types - so you can capture everything here in one place. Click here to learn more about Pre-Settlement Fees.

Brand new filters, sorting, and Saved Views!

Based on user feedback, we've updated our event filters across Prism, so that you have more efficient and customizable ways to view all your events. In addition to making the filters bigger and smarter, we've also added better Sort options and Saved Views, which is a feature that allows you to save sets of filters for future viewing.

For example, if you're a promoter working regionally, you can set filters for all venues in a market (e.g., Detroit) and then click on "Save as" to quickly view all of your Detroit venues at once. There's no limit to how many views you can save and Prism will "remember" the last one you were looking at the next time you log in.

Customize your own default hold level

While you can always modify hold levels for any event, Prism's "default" level has always been H2. While this is applicable to most users, several have mentioned that they would like to use a different hold level as their starting point (e.g., H1).

Now, any admin can go to Settings and select your account's default hold level. Note: if you have auto-promote enabled, this will be the level that holds auto-promote to.

Other updates and fixes:

  • Added the year to confirmation emails and the "copy holds" clipboard

  • Cleaned up how events sort on the Event List

  • Fixed the "Save Version" button on OP offers/settlements

  • You now have the ability to include inactive venues into your Reports queries

Our calendar experience on mobile has been totally rebuilt

  • Based on feedback from folks like you, we redesigned the way our calendar and hold management tools work on mobile devices.

  • It's now easier than ever to place holds, manage levels and dates, confirm shows, and make other changes on the go.

Budget Summary has been updated

  • You can now scroll up and down the Budget Summary of every show without losing your place on the rest of the page's content.

  • On mobile, we've moved the icon to the top right (as pictured below).

H1 functionality has returned to the Hold Builder

  • In an effort to simplify hold management, we removed a dropdown that provided the option to place H1s across a range of holds (if available).

  • You can now place H1s for a date range by using the checkbox under the dates section of the Hold Builder.

Updated Date & Venue Editing!

  • You can now click on the Date and Venue buttons on every event page to reschedule events or change their location.

  • This ability will be available for all events, except for those in the "Settled" status and all users, except for those without both the Clear Holds and the Manage Holds permissions activated.

Event List "card" redesign!

  • Updated the event list "cards" design to create more modern and sleek feel

  • Improved the layout of information to make it easier to scan events quickly

  • Added the event date's year to the card

  • Added a new Show Health chart to give users a quick way to figure out how a show is doing

  • We conducted research and surveys of clients from across the country to understand what figures are most important to have on this view and updated accordingly. Thanks to anyone who participated!

  • Venues and stages are now sorted alphabetically in the calendar filter and Manage Holds dropdown (Note that you can still type the first few letters of your selection to jump to that spot on the dropdown!)

  • We used to show pop-ups every time an event's status was changed - we've removed those so you can move faster through Prism!

  • Added the ability to see a preview of the logo you’re selecting when selecting a logo in Event Settings

  • Improved some of our error messaging, so you can better understand what went wrong and how to fix it

  • Applied gray backgrounds to some pages to create better foreground / background on pages with “card” designs (i.e., made it easier to separate information on the page visually)

  • Fixed an issue where ticket rebates weren’t adding into Additional Internal Revenue totals

New features and updates

  • Introducing better Task sorting! Now you can sort global and event-level tasks by ascending or descending order. Just click on "Due Date" to sort!

  • We've gotten feedback that the Internal Settlement needs to breakout individual costs and include more show info on the .csv export. Our new layout should make it easier than ever to understand how your shows perform as well as make more user-friendly.

  • The headers within Event Pages have been completely redesigned, to bring a cleaner, more modern look.

  • Event statuses (e.g., hold, confirmed, etc) now live in a drop-down menu in the top right, so you can jump around statuses without having to go one-by-one. For example, you can take a show that has been in "Finalized Settlement" back to "Confirmation" without unconfirming the event.

  • Event Settings now permanently lives in the top-right, so you only need to go to one place to find Facility Fee, Tax, Pre-Settlement Fees, and Additional Dates.

Bug fixes

  • Fixed an issue where offers/settlements were not showing all confirmed dates in Show Details section

  • Fixed an issue where Budget Summary was not grouping costs by Category

  • Fixed an issue where talent deals in templates were not displaying the correct information

P&L Summary Redesign

  • We gave our P&L Summary sidebar a total facelift! Here's a full breakdown of the changes - please note that all figures are pulling from the same place as they were before / no formulas have changed.

  • Gross Ticket Revenue and Additional Internal Revenue are now separated, based on feedback that users would like to see ticketing revenue separate from other revenue. This also gives a clearer picture of how Adjusted Gross is calculated (Gross Ticket Revenue minus Taxes and Fees). 

  • Split Point and Promoter Profit are now only visible on the External view, since they affect the external payout. Note: Promoter Profit is nested in Expenses -- no longer broken out at the bottom. 

  • Negative numbers are now displayed with parentheses instead of minus signs, to simplify the visual design. 

Bug fixes

  • Fixed an issue where "Event Date" wasn't being passed through Webhooks

  • Fixed an issue where External Estimated fixed expenses were displaying internal numbers, when they should have been displaying external numbers

  • Fixed an issue where some calendar events were not displaying for some users

Hold My Ticket integration

Upgrade to Webhooks

  • Webhooks can now send Announce Dates, Pre-Sale Dates, On-Sale Dates, Ticket ID, and Talent ID to other apps connected through Zapier

  • They will also now trigger an "event update" zap when Run of Show or tickets are modified.

  • Have no idea what I'm talking about? Webhooks are an awesomely useful way to connect Prism to third-party platforms, like Slack, Google Sheets, Asana, etc.

New features and updates

"Breakeven" is now an optional column on Offers

  • By default, all Prism offers have a "Breakeven" column to show how many tickets of each tier need to be sold to breakeven. This is found under the "Ticket Scaling" section.

  • If you would like to turn this off, please reach out to your Client Success Manager or to clientsuccess@prism.fm to request the update.

Ticketfly importer can now report on both event date and transaction date

  • Previously, when importing historical ticket sales from the Ticketfly Transaction Detail report, only the event dates carried over. But now, you can see the sales per day, as well as counts per day, in the Ticket Sales Reports portal.

Bug fixes

Holds

  • The Copy Holds to Clipboard button will now successfully copy all holds regardless of whether they span across multiple months or were added at different times

  • Hold selector dropdown now shows which which level is selected for new hold

Revenue & ticketing

  • Adjusted the column sizes on Pre-settlement Ticketing Fees so that the "Ticket Type" column is always readable

  • Historical sales data imported from Ticketfly now correctly display transaction dates, as opposed to displaying 

Templates

  • Applying an event template to an event with existing tasks was overwriting those tasks. We've updated event templates to never overwrite existing tasks.

Event list

  • We made some updates to the buttons within the right-hand 3-dot menu, so that they work more consistently and intuitively
