Add new artists to your roster, edit commission, view upcoming events, and manage files for an artist.

The Artist Roster is where you can manage your artist details like Agent Commission %s, Contract Signer, and Files like W-9s and riders.

Note: You will need either Admin access or access to "View Artist Roster" at a Global level to see this tab and "Edit Artist Roster" access to edit these details.

Add a New Artist to the Roster

  1. Visit the Artist Roster by clicking the microphone on the left hand sidebar.

  2. Click "Create Artist" in the top right corner.

  3. Enter the artist name in the Artist field and select the artist from the dropdown or select the "(Not in Spotify)" option at the bottom of the list if they are not in Spotify.

  4. Add an Agent from the dropdown and add their Commission. Click the Add agent button to add an additional Agent. Note that the Agents must have been added as users to your account prior to this step. The values added here will be the defaults for agent commissions on events with this artist moving forward. You will have the ability to change the agents/commissions on an event if needed.

  5. Select a contact as the Manager from the dropdown by either typing a name to search or creating a new contact. At the bottom of the list there is a "Create new contact" option. If needed, select that and input additional contact details into the pop up.

  6. Select a contact as the Contract Signer from the dropdown by either typing a name or creating a new contact. This contact will automatically appear on any of the artist's contracts in the signature lines.

  7. Add notes about the artist if needed.

  8. Click Save.

Edit Artist Details

  1. Visit the Artist Roster by clicking the microphone on the left hand sidebar

  2. Select the artist by clicking their name

  3. Click on the Overview tab

  4. Update Agent, Commissions, Manager, or Contract Signer information and click Save.

Note that any updates made to Agent or Commissions defaults here will only affect new events and existing events will not be updated.

Remove an Artist from the Roster

Use the Archive button to archive an artist on the roster when they are no longer a client. All client data will still be searchable in the Event List and reportable in reports but the artist will no longer appear as a client when adding new events.

If you work with the same artist in the future, expand the "Archive Artists" section below your active artists on the roster and click the Archive button again.

Upload Files to an Artist Page

Upload files to the artist tab to easily access these files any time you send an artist's contract or invoice/receipt. You may want to add things like W-9s and riders to this tab.

  1. Visit the Artist Roster by clicking the microphone on the left hand sidebar

  2. Select the artist by clicking their name

  3. Click on the Files tab and click "Add File(s)"

  4. Upload a file from your computer by dragging and dropping or browsing.

  5. Uncheck the "Visible to all" checkbox to limit access to the file(s) to only users with particular roles if necessary. Note that all admins will have access to view Artist files.

Note: File size is limited to 100MB.

Managing Related Artists

Contacts in the contact book can be associated with an artist on the roster via the "Contacts" tab at the top of the artist page.

Adding a new or existing contact to an artist will automatically add that artist to that contact's "Related Artists" field in the Contact Book.

Establishing a relationship between a contact and an artist is just a way to organize your contacts and reference members of an artist team. You can also do this via the Contact Book.
