How to add finals to shows and invoice an artist.

Use Prism to track each show's ticket sales, final artist payout, and other event details. Once an event is Settled, you'll have the ability to invoice the artist via the Balance Table on the Artist Roster and generate an invoice or receipt.

How to Input Finals and Settle an Event

When you are ready to input finals on a show in Prism, mark the show as "In Settlement" in the top right corner of the event. This will let your team know that you are working on inputting finals.

1. Input Ticket Finals

On the Revenue tab, input the ticket finals into the Sold column. If you or the artist received a Settlement from the Promoter, check that the Actual Gross and Net Gross match the corresponding numbers on their Settlement.

Net Gross is calculated after Fees and Tax so if that number looks off, double check the Tax and Facility Fee on the event below the Tickets.

Use pre-settlement fees to deduct fees from the ticket price if needed for things like VIP Lifts. Learn more about Pre-settlement Fees here.

If any additional revenue should be included in the Net Gross, add it in the "Additional Revenue Included in Net Gross" section. Learn more here.

2. Update Costs

For any deal that involves a Split Point, inputting costs will be important for determining the Artist Walk Amount.

On the Costs tab, update the "Settlement" column with the Costs from the Promoter if anything has changed since the offer/contract.

You may want to enter variable costs like licensing fees as a fixed cost line item as well.

3. Update Support Costs

On the Deals tab, add any relevant support artists. Depending on how support was paid, add them either of the following ways:

  • If the Support artist should be included as a split point cost, add them as an Artist on the Deals tab. Confirm that the support artist's deal has the "Include in Deal" toggle toggled on. This will make the Support Artist's payout a Split Point cost.

  • If the Support artist is paid out of the Headliner's Walk Amount, deduct the Support artist's fee as a Deduction Adjustment on the Headliner Deal. Click the three dot menu next to the Contract/Settlement button for the Headliner, click Add Adjustment, and then select Deduction.

4. Confirm Artist Payout is Correct

Now that you have added ticket finals and costs, check that the artist payout is correct for the Client on the Deals tab.

If the payout does not match the Promoter's settlement or walk amount, you have the option to override the Artist payout or increase or decrease the payout number using an Adjustment. Adjustments should also be used for reimbursements like a production or hotel buyout.

Overriding the Artist Payout

There may be times when you have entered finals into an event and the artist payout calculated based on the tickets and costs in Prism does not match what the artist was actually paid and what the amount that should be commissioned.

To override the calculated number, click the three dot menu next to the Contract or Settlement button and click Manual Override. Enter the payout amount that should be commissioned in the pop up. If the artist payout included any non-commissioned adjustments like a production or hotel buyout, add those as reimbursement adjustments on top of the overridden amount.

For example, let’s say an artist was paid $15,000 plus $500 for production buyouts but Prism is calculating the payout as $16,150. Since the agent should be commissioned on $15,000 in this example, override the payout to $15,000 and add on a $500 reimbursement adjustment (with the “Affects Artist Earnings” toggle off). If the agent's commission was 10%, they would receive $1,500 for this show.

After an override, any edits to the deal or adjustments that have “Affects Artist Earnings” toggled on will not be factored into the balance table.

To remove or edit an overridden payout, hover over the number and click the x.

Notes on Overridden Payouts:

  • If an artist deal has a withholding, the withholdings calculation will be based on the overridden amount. So in the example above, if there was a 30% withholding, it would calculate based on the override value of $15,000 and withhold $4,500.

  • Percentage based Deposits will calculate off of the guarantee from the original deal

5. Track the Settlement as Paid

Update who collected the Settlement payout in the Payments table in the Collected By column. This will impact your final remaining balance with the artist.

6. Update the Event Status to Settled

Finally, mark the show as "Settled" in the top right corner of the event so that the event becomes available in the Balance Table tab on the Artist Roster. From there you'll be able to invoice the Artist.
