Manage contacts, their assigned roles, and related artists in Prism via the Contact Book

Managing Agency Contacts

Manage all contacts, their assigned roles, and related artists in one place on the Contacts page. Search, update, add, remove, and download all contacts as .csv documents from the Contact Book.


Creating new contacts

To add a new contact, click on the "Create Contact" button on the contacts page. "Name" is the only required field, so if any contact info is missing from Prism documents, go back and edit their details in the contact book (e.g. if the Company is missing from the Purchaser signature lines of a contract).

All contacts that are created when added to an artist record, an event template, or new show on the calendar, will be automatically added to the Contact Book.

Editing existing contacts

When a contact is edited on a show, template, or in the contact book, their information will be updated across the app. For example, in the first screenshot on the page, if Aaron A's contact record was edited from the Contact Book, their information would be updated on any show they're associated with.

To edit a contact, click on the pencil button to open the contact form, make updates, and click "Save".

Deleting contacts

To delete a Contact from your account entirely, go to the contact book and click the "Delete" button next to the contact record.


Managing Roles

One or more roles can be assigned to a contact to distinguish between buyers, managers, agents, and other job titles. Create, edit, or remove available roles as needed from the Roles tab on the Contact page.

Roles are also searchable, so you can type "Buyer" in the "Filter Contact Roles" in the contact book to scan through a list of talent buyers.

To create a new role from the Roles tab in the contact book, click the "Create Contact Role" button at the top. Add an optional description, decide whether to show or hide the role from Prism documents via the "Show in Docs" toggle, and click "Save".

New roles can be created when editing a contact from anywhere in the app by typing the new name into the "Roles" field, and selecting the "Add new role" option. This role will be saved to the contact book for future use, and can be managed from the Roles tab.


Managing Related Artists

Organize your contacts by artist team via the "Related Artists" field on the contact form. This is a new field on the contact details form that allows you to associate artists on your roster with contacts in your contact book.

To assign artists to more than one contact at a time, select one or more contact records using the checkboxes on the left hand side and click the "Edit" button at the top of the page to select artists.

Once the relationship has been established between a contact and an artist, the contact will appear in the Contacts tab at the top of the artist page. Adding a new or existing contact to an artist will automatically add that artist to that contact's "Related Artists" field.

Emailing Documents Using Event and Artist Contact Roles

Documents can be sent to all Contacts with the same Event and/or Artist-related role on an event when sending Contracts, Itineraries, Invoices/Receipts, Advances, or Settlements directly from Prism. Users can select from Event Roles and/or Event Contacts, Artist Roles and/or Artist Contacts, or all Prism Contacts in the dropdowns, based on which kind of document is being sent. If any event or artist roles are selected, documents will be sent to all contacts with those roles, in addition to any individual contacts that have been selected.

Event and/or Artist-related Contact Roles can also be applied to email templates, in addition to individual contacts. If roles are added in any of the recipient fields, the relevant Contacts will populate automatically when the email template is used on an event. Contacts on shows and contracts

Contacts can be added to shows to help you keep track of promoters, artist teams, venue contacts, or anyone else related to an event.

When you add a new show to the calendar, you have the option to add a new promoter or select an existing one from the contact book. The promoter will automatically be added to the "Contacts" tab on the show and will appear on the contract as the purchaser.

Note: The person on your team who added the show to Prism will always be automatically added to the Contacts tab because they're the Event Owner.

Click on the pencil button to edit any contact details in the Contacts tab on an event. Any changes here will update the contact throughout the app.

The "Docs" toggle will determine if the contact will appear on the contract and advance PDF documents. To hide an entire contact from a show's PDFs, turn the "Docs" toggle off.

Use the "Event Notes" column to keep internal-only notes related to the contacts of a particular show.

Delete a contact from an event using the "Remove" x.

Add a new contact to an event using the purple "Add Contact to Event" button. Start typing the name of an existing contact or create a new contact. When creating a new contact, start typing the name and press enter or click the "Create new contact" dropdown. This will open a contact editor where you can add details like email address, role, and phone number.


Control Permissions to the Contact Book

There are two permissions for managing contacts, one that allows for access to contacts on events and one that allows access to the full contact book. Click here for more information on managing users in Prism.

View/Edit Contacts

"View Contacts" will allow users to view the Contact tab on shows and "Edit Contacts" allows the user to remove, add, and update contact information on shows.

View/Edit Contact Book

"View Contact Book" gives a user access to the global contact book. "Edit Contact Book" allows users to edit contacts from the Contact Book page.


Reporting on Contacts

In the Reporting section of Prism, the "Event Contacts" filter can be used to narrow down the search results.

Visualize how well shows with a specific promoter did overall, and dig in to details on particular shows by clicking the blue "Show Events" link at the top of the page.
