Managing Your Roster in Pipeline

Organize your company's creative talent and discover crew who have worked with your roster on past productions.

Written by Stephanie Randall

What is a Roster?

The Roster feature allows talent agencies, post-production companies, and VFX companies to manage the creative professionals they represent or employ within ProdPro's CRM.

Your Roster is a subset of your broader Company Contacts, making it easy to distinguish your company's talent from other industry contacts.

For example, a talent agency might use its Roster to track the directors and cinematographers it represents, while a post-production company might use it to manage its in-house editors and other creative talent.

Once you've built your Roster, you can use it to discover other crew members who have worked with your talent on previous productions.

How to enable Roster

Roster is an optional feature that can be enabled for your company's Pipeline account.

To request access, contact the ProdPro team through the in-app chat bubble or email support@prodpro.com.

Once enabled, you'll be able to designate contacts as part of your company's Roster.

How to add Contacts to your Roster

To add someone to your Roster:

  1. Navigate to CRM → Contacts in Pipeline.

  2. Find the creative professional you'd like to add.

  3. Open their Contact record by clicking the pencil icon in the Actions column or on their name.

  4. Scroll to the bottom of the pop-up and select Add to roster. Click Save.

Contacts added to your Roster remain part of your company's broader contact list.

Find crew who have worked with your Roster

Once you've added talent to your Roster, you can use the Worked with our roster filter on the Crew page.

This filter helps you discover crew members who share production credits with members of your Roster, based on ProdPro's production history data.

Note: Roster contacts need to be associated with a ProdPro crew profile for this filter to work

To use the filter:

  1. Navigate to the Crew page.

  2. Open the Filters panel on the left-side menu.

  3. Select Worked with our roster and click Apply filters.

  4. Apply additional filters, such as crew role or location, to narrow your results.

Showing Roster Connections on Productions

Once you've added talent to your Roster, you can also show those Connections on the Productions page.

The Connections column tells you who you already know on a production. The dropdown chooses whose network it counts: your contacts, your company's contacts, or your Roster.

Roster Connections is not a filter. It does not hide productions. The same productions are listed before and after — only the Connections column changes.

To show Roster Connections:

  1. Navigate to the Productions page.

  2. Click on Show Connections.

    1. If Connections are already showing, click the green Connections button.

  3. Select Roster.

What you will see:

  • The button turns green and reads Roster Connections, so you always know which network the column is counting.

  • The Connections column counts the people on your Roster who have worked with that production's team.

  • Productions your Roster has no connection to show ‘–’ and stay in the list.

Your filters, sorting, and search are unaffected.
