Productive’s email inbox lets you connect multiple Outlook accounts and read and manage emails directly inside Productive. It also supports linking conversations to your deals, tasks, projects, and other items, making it easier to keep everything in one place.
It’s designed to replace the older BCC inbox functionality, which will continue to exist but is no longer located under CRM > Inbound Emails.
You’ll now find both inboxes under a new mail icon in the top navigation bar.

Connecting Outlook is available on the Professional and Ultimate subscription plans.
Admin Consent Required
Before connecting a work Outlook email, your company’s Microsoft admin must grant Productive permission to access the account.
👉 Direct link for admins: Clicking this link will take the admin straight to the flow where they can grant consent for the entire organization: Grant Admin Consent for Productive.
It can take a few minutes (usually 2–3) for the admin consent to propagate, so don’t worry if the connection isn’t immediate.
Who Can Connect?
Only users with the Manage Emails permission can access and use this feature.
By default, this includes users with the Admin, Manager, and Profitability Manager permission sets.
If needed, you can create a custom permission set, complete with the View and Manage Emails permission and assign it to any user who should have access.
Connecting Your Outlook Account
To connect your Outlook inbox:
1) Click the mail icon in the top navigation bar.
2) Click Add Email Account and select Outlook account.
3) Click Connect Email and you’ll be redirected to a Microsoft authentication screen.
4) Sign in to your Outlook or Microsoft 365 account and allow the requested permissions.
5) Choose which folders to sync with Productive:
Any folder: syncs all folders, including Inbox, Drafts, Sent, and any custom folders or labels.
Only specific folders: lets you select which folders to sync from the dropdown.
6) Once connected, your inbox will appear within a few seconds.
📌 You can add multiple Outlook inboxes if needed, or even add one or more Gmail inboxes. Click + Add Email Account to connect them.
📌 To disconnect or edit the integration, navigate to Settings > App Marketplace > Outlook.
Supported Connection Scenarios
In addition to connecting a single inbox to a single user in one organization, the following cases are also supported:
One inbox connected to multiple organizations (e.g. using the same personal Outlook account in two separate Productive organizations).
One inbox connected to multiple users within one organization (e.g. a shared sales@company.com inbox).
You can add one or more Gmail inboxes alongside your Outlook ones. Click + Add Email Account to connect them.
📌 For shared inboxes, each user needs to connect the inbox separately to see and use it in Productive.
📌 You cannot connect the same inbox more than once to the same user in a single organization.
