Booking Tasks From the Project Resourcing Tab (Beta)

Open the Tasks panel on a project's Resource Planning tab and drag tasks or milestones onto a person's schedule to create a booking.

The Resource Planning tab of a project includes a Tasks panel listing the project's open tasks and milestones.

You can drag any task onto a person's row to create a booking without leaving the page.

Who Appears in the View

  • All project members, including those without a single booking for the services from deals and budgets linked to the project.

  • Anyone booked for the services from deals and budgets linked to project, even if they aren't a project member.

📌 If the person you want to book isn't listed, use the + button to add them — this adds them to the project as a member.

Opening the Tasks Panel

Click the panel toggle on the right side of the Resource Planning view to open the Tasks panel.

By default, two filters are applied: Status Category ≠ Closed and Unaccounted Time > 0h, so the panel only shows open tasks and milestones that still have hours left to schedule. Remove the Unaccounted Time filter to also see tasks without an estimate.

The panel also:

  • Lets you search by task name or number.

  • Lets you add filters for any task field, including Assignee, Billable Time, Creator, Due Date, Dependencies, and custom fields.

  • Lets you sort the list.

  • Shows each task's Unaccounted Time or Unscheduled Time — how many hours are still left to plan, based on the task's initial estimate. Which label appears, and how it's calculated, depends on the admin's choice in Settings > Resourcing > Planning & Scheduling:

    • Unscheduled time = Initial estimate − Total scheduled

    • Unaccounted time = Initial estimate − (Worked + Future scheduled)

📌 Filters stay applied even if you close the panel. They only reset once you navigate away from the tab.

Clicking a task opens the task, so you can check its details without leaving the view.

Creating a Booking from a Task

  1. Open the Tasks panel on the Resource Planning tab.

  2. Drag a task or milestone onto a person's row, on the date you want the booking to start.

  3. Drop the task. A booking form opens, already filled in with details from the task, so you can confirm or adjust them before saving.

📌 If you drop a task on a non-working day, the booking follows the same rules as any other booking in the Resource Planner: weekends, holidays, and the person's non-working days are skipped.

How Allocation and Duration Are Set

The booking carries over the task's service, and calculates its own allocation and duration from the task.

Allocation comes from the task's estimate:

  • If the task has an estimate, the booking's total allocation matches it.

  • If the task has no estimate, allocation is left blank for you to fill in.

Duration depends on whether the task has dates:

  • If the task has a start and due date, the booking runs for the same number of working days as the task, starting from the date you dropped it on. The estimate doesn't affect duration in this case.

  • If the task has no dates but has an estimate, the booking spreads across as many working days as needed to cover the estimate, based on that person's daily capacity.

  • If the task has neither dates nor an estimate, the booking is one working day long.

For example:

  • A task with a 16h estimate and no dates, booked on someone who works 8h a day, creates a 2-day booking (8h/day).

  • A task with a 20h estimate and a 5-working-day date range creates a 5-day booking starting on the drop date, at roughly 4h/day. The dates set the duration; the estimate sets the total hours.

  • A task with no estimate and no dates creates a 1-day booking.
