Creating and Managing Payment Reminder Templates

Create payment reminder templates, set the organization default, and customize timing, sender, subject, and email content.

Payment reminder templates save you from writing the same reminder every time. You set one up once, then reuse it on any invoice or set it as a client's default.

Creating a Template

  • Go to Settings > Payment Reminders

  • Click + New template

  • Name your template and click Create template

The template then appears in the list of templates, where you can edit or delete it.

📌 If you delete a template that's set on clients, it's removed from those clients, and they no longer have a template. Invoices that already have reminders from the deleted template aren't affected.

Setting the Organization Default

Star a template in the list to make it your organization default. When you tick the reminders option on an invoice for a client without its own template, the default is selected.

📌 Setting an organization default doesn't turn reminders on automatically. To add reminders to every invoice for a client without ticking the option each time, set a template on the client in the CRM.

Editing a Template

Click Edit template to choose when and how each reminder is sent:

Timing: Set when the reminder is sent, for example 3 days before or 5 days after the invoice's due date.

📌 Changes apply to reminders added after you save. Invoices that already have reminders from this template keep their existing reminders.

Email sender: Choose the address the reminder is sent from. You can use a custom sender address set up in Settings > General > Custom Sender Email Address (Ultimate plan), or a Gmail or Outlook inbox connected to Productive (Professional and Ultimate plans).

Subject: Set the email subject. You can use dynamic fields to pull in details like the invoice number or project ID.

Content: Write the email body.

📌 You can use dynamic fields in the content, too. Click the info bubble to see all available fields, then type @ or click + to insert one.

Adding Multiple Reminders to a Template

A template can include several reminders, each sent on a different day. For example:

  • 5 days before the due date

  • 1 day after the due date

  • 7 days after the due date
