Losing a Deal

Lose a deal and add a lost reason to know why you are losing potential clients. Lost reasons can be set up manually in the Sales settings.

Updated today

Sometimes, deals don’t go our way. In Productive, marking a deal as lost keeps your pipeline accurate and helps you track why opportunities were unsuccessful.

You can mark a deal as lost in several ways (described below).

Marking a Deal as Lost

1) Directly from the deal

Use this method when you’re already viewing a deal and want to quickly mark it as lost. Click the red Lost button within the deal.

2) By moving the deal to a Lost stage

Choose this option if you prefer to manage deal status through your sales pipeline. Move the deal to the pre-defined Lost stage (set in your sales pipeline settings).

πŸ“Œ Example: in the screenshots below, the Fell Through stage is in the Lost status, meaning that any deals moved here are automatically marked as lost.

3) Inline in the table layout

This method works well when reviewing multiple deals in a list. Lose the deal and enter lost reasons directly in the table view under CRM > Deals.

πŸ“Œ Make sure to add the "Stage" field to the layout to be able to choose your lost stage here.

4) Drag-and-drop in the board layout

Ideal for visual pipeline management. Drag and drop a deal into the Lost stage in a board layout under CRM > Deals, then select the lost reason.

5) Bulk update multiple deals

Use this when you need to mark several deals lost at once. Check the boxes next to the deals (in either table or board layouts), select Stage from the top toolbar, and switch them to the lost stage.

πŸ“Œ When using bulk actions, the same lost reason will be applied to all selected deals.

Lost Reasons and Mandatory Fields

After marking a deal as lost, you'll need to select a reason from the dropdown menu and, if needed, enter a note with more details.

You can also choose to remove any future bookings made for the services in the deal in the Resource Planner by ticking the "Delete all future bookings" box.

πŸ“Œ Adding lost reasons can be mandatory, depending on your Lost stage settings.

Adjusting Lost Reasons

You can customize and add your lost reasons under Settings > Sales settings > Lost reasons.

Deal Lost Reasons: Overview and Editing

You can edit the lost reason at any time by opening the deal and clicking "Edit lost reason."

πŸ“Œ For a comprehensive overview of lost reasons over time, go to the Reports tab, click + Report (upper right), and check out the Deals lost by reason pre-made report.
