Projects Overview

In Productive, projects are the heart of your organizational system, centralizing all your activities, whether client-related or internal.

Projects help you break down your workload into manageable segments—like tasks and subtasks—aligning with your goals and making your workflow more efficient.

Projects are organized with customizable tabs, allowing project layouts to better match team roles and workflows.

📌 Note: For more details on managing project tabs, see Navigating Projects: New Tabs and Layout Options (Beta)

You can add various tabs to your project to:

  • Create project Docs to draft important documentation.

  • Create Forms to gather project requests, track feedback, or manage internal approvals in a clear and structured way.

  • Generate detailed project-specific reports.

  • Have a clear view of all changes and activities in the project's feed, ensuring you stay on top of every detail.

Any emails linked to the project via the Gmail inbox integration will also appear here, alongside tasks, comments, and other activity updates.

Projects, Budgets, and Deals

Projects primarily focus on organizing and managing work, but they can also include budgets and deals to add a financial perspective to your efforts.

By incorporating budgets, teams can:

  • Track time against budgeted services

  • Log expenses

  • Generate invoices for clients.

Projects can contain multiple budgets, allowing you to break down complex projects into phases or stages like design, development, and maintenance. This structure helps you manage both the workflow and financial tracking with precision.

For example, staff can work on tasks and track their time for specific services, while budget owners or project managers can monitor both the progress and budget of the project.

Summary:

  • Tasks within projects help manage your workflow and deliverables.

  • Budgets / Deals enable you to track time, finances, and profitability, ensuring your project stays on track both in terms of work and financials.

Projects and Work Organization

Projects are designed to break down your work into smaller, more focused components such as folders, task lists, and tasks, ensuring efficient management.

📌 Note: You can also automate repetitive tasks with customizable automation rules.

Project Layouts

Tasks within projects in Productive can be viewed in various ways, such as List, Board, Table, Calendar, Timeline, or Gantt layouts.

This flexibility allows you and your teams to choose the best view for tracking progress, planning tasks, and managing resources.

Good to Know: Project Hierarchy in Productive

Productive structures work in a clear hierarchy, which helps maintain productivity and organization:

This hierarchy ensures that all work is organized in a way that makes sense for your team, helping you to track progress, plan tasks, and manage resources effectively.

By using projects in Productive, you can effectively manage both your workflow and financials, ensuring that your team stays on track and that your projects are delivered successfully.
