How to Import a Schedule

Formatting and Importing your existing data in Programa.

Importing existing schedules can save you a vast amount of time and energy manually entering data. Rather than starting from scratch, Programa has built a way for you to translate your existing schedules into a format that our system can upload to your account.

How to Import a Schedule

  1. Download Schedule Template to save the data format spreadsheet.

  2. Format your existing schedule data into the relevant template spreadsheet fields (more detailed instructions can be found below and within the template file itself).

  3. Once your template is complete, send the excel file to us via live chat, or email team@programa.com.au.

Schedule upload processing takes approximately 5 business days from receipt of your files. Once the upload process is complete, the new schedules will be added to your nominated project.

Importing your schedules will help you save time manually entering pre-existing product information into your Programa account.

Once your information has been translated into the template format, Programa will run loads your data into a new schedule within the platform.

Step-by-Step Process

  1. Create a folder named STUDIO NAME_PROJECT NAME_SCHEDULE NAME and save all your schedule images and product attachments into this folder

  2. Rename this file to STUDIO NAME_PROJECT NAME_SCHEDULE NAME.xls (e.g. VALORA KLEIN_AIRLIE HOUSE_FFE SCHEDULE.xls)

  3. Open the Schedule Name & Project Info tab and fill in the relevant fields

  4. A Programa schedule is broken down into different sections. These sections can be categorised by Product Category (e.g. Floor Finishes) or location (e.g. Kitchen). This template comes with default 10 default section tabs (you can add or remove as many section tabs as required). Please rename the tab to your schedule section name (e.g. Floor Finishes or Kitchen).

  5. Open your existing schedule and have it readily accessible.

  6. Open a template schedule section tab.

  7. Copy information from your existing schedule and paste it into the corresponding template field (E.g. copy product name from your existing schedule and paste it into the product name field in the template. Repeat for all information fields.

  8. Save the completed template ensuring it is a .xls file format

  9. Create a zip folder containing the spreadsheet xls file, images and attachments.

  10. Email the zip file to team@programa.com.au or send it via live chat through your Programa account

  11. Once data has been approved, the information will be loaded into your Programa account. Depending on amount of data this may take a few days.

Data Guidelines

The accuracy of your imported schedule relies on you following the guidelines below. Programa is not accountable for data errors during import if incomplete or inaccurate information has been supplied.
