Studio WIP is a consolidated view of all tasks across all projects. Rather than clicking into each individual project to view your active tasks, you can now see them all in one organised space. This makes is easier for you to track deadlines, resource staff time and build your weekly program across all projects.

How does it work?

Tasks added to your project board will automatically appear in the Studio WIP list. Tasks are ordered and organised by due date; showing your over due tasks first, tasks due today, tasks due tomorrow, upcoming tasks and finally your unscheduled tasks (without an assigned due date).

Adding & managing tasks in Studio WIP

If you would prefer, you can add project tasks directly from the Studio WIP page. This will save you time navigating into a project board and adding tasks individually. Remember, your project will need to be created before you can add tasks directly from Studio WIP.

How to add a new project task in Studio WIP:

  1. Click the round + button in the bottom right of your screen

  2. Fill in the task fields. Ensure you have selected a Project name, Board name and List name. For example Airlie House (project name) - Schematic Design (board name) - To Do (list name)

  3. Assign the task to team members if applicable. Remember the team member must be added to the project in order for them to appear in the options list

  4. Add an optional label. For example 'Priority', 'Ready to Review or 'Sent to Client'

  5. Add in attachments if required

  6. Add task details into the description box

  7. Click Add Task

How to edit an existing task in Studio WIP:

  1. Click the arrow icon to the right of the task listing to open the editing window

  2. Edit the relevant fields

  3. Click Save Task

How to remove a task from Studio WIP:

There are a few different ways you can remove a task from the main Studio WIP view. You can delete, archive or mark a task as complete.

To delete a task, open the task editing window and click Delete in the bottom left of the window. Please note this will permanently delete the task from both Studio WIP and the associated Project Board.

To archive a task, open the task editing window and click Archive in the bottom left of the window. This will also archive the task from the associated Project Board.

To complete a task, open the task editing window and click the Complete checkbox. This will remove the task from Studio WIP, however it will still appear in the associated Project Board.

How to track time in Studio WIP:

  1. Hover your mouse over the task name you wish to track time to

  2. Click the play button icon to the right of your task name to start the timer

  3. Stop the timer by clicking the stop button in either the task listing or left side toolbar

How to filter tasks in Studio WIP:

You can filter the tasks in Studio WIP by project and/or team members. Using filters will allow you to only see the information you require at any time.

To filter by team members, click the dropdown arrow next to your team's profile photos in the top toolbar. Select the team members you'd like to view tasks for (you can select multiple members), then click out of the dropdown menu. You will now only see tasks assigned to those selected team members.

To filter by project, click the dropdown arrow next to All Projects in the top toolbar. Select which project you would like to view tasks for (you can only select one project at a time), then click out of the dropdown menu. You will now only see tasks for the selected project.

How to hide a project board from appearing in Studio WIP:

Not all boards need to be displayed in Studio WIP, for example a template project management board containing placeholder tasks.

If you would like to remove or hide a board and associated tasks from Studio WIP:

  1. Navigate to the project board you would like to hide

  2. Open options by clicking the 3 dots in the top right toolbar

  3. Switch off 'Show on Studio WIP'.

Please note, if you have the Programa Template Projects, your project management boards will be hidden by default from appearing in Studio WIP.

When duplicating the templates to a new project, please ensure to open your board options and switch on Studio WIP visibility.
