How to export your Schedule & Spec Sheets to PDF

This guide shows you how to export your Programa schedules as professional, branded PDFs-whether you need a full schedule, selective products, or detailed spec sheets for client presentations.

Exporting your full Schedule to PDF

Programa will automatically generate a branded A3 landscape export in just a few clicks. The PDF includes a cover page with your studio name and logo, project name, schedule name, notes, disclaimer and the current date.

  1. Click the 3 dot menu in the top right corner of your Schedule

  2. Select Export as PDF

  3. Toggle on or off any fields you want to show or hide from the export

  4. Add Cover page notes if needed (revision numbers, special instructions, etc.)

  5. Click Export

Note: Your PDF will download immediately for most schedules. Larger schedules may take a few moments to generate.

Customising which fields appear in your PDF

You have the option to show or hide fields in your PDF export. Each column contains several product information fields. When a column is hidden, all the corresponding information fields will not appear in your schedule. Likewise, when a column is shown, all the related information fields will appear in your schedule.

You can choose to show or hide as many columns as you like.

Optional information fields:

Brand Details

Includes the Product Name (given by the brand), Brand Name and Product URL

Supplier Details

Includes the Supplier Company Name, Sales Representative Name and Contact Email

Order Info

Includes the Product QTY, Product Code (SKU) and Lead Time

Product RRP

Includes the Unit RRP and Total RRP

Product Client Price

Includes the Unit Client Price and Total Client Price (note, client price is calculated from your trade price + product markup %)*

* If you want to charge RRP, we recommend toggling on 'Add Markup', ensure you have a QTY of at least 1, then change your Client Price to 0%, and this will automatically recalculate the fields around it. Your Client Price field will now match the RRP, and this is what will present on your PDF export.


Exporting selective products or sections

Programa allows you to export specific sections or products within your Schedule as a summary PDF. Here's how to selectively export:

  1. Hover to the left of products or section headers to reveal checkboxes

  2. Check the boxes next to items or sections you want to export

  3. Click the Action button that appears in the top right corner

  4. Select Export as PDF

  5. Toggle off any fields you want to hide

  6. Add Cover page notes if needed

  7. Click Export

Pro Tip: You can export a selective view based on your filtered and sorted selections, having the option to export only the filtered view, only the sorted view, or both combined.


Exporting individual product Spec Sheets

Programa lets you export detailed spec sheets for individual products directly from your Schedule.

Method 1 – From the Schedule:

  1. Click the 3 dot menu at the end of any product line

  2. Select Export PDF Spec Sheet

Method 2 – From the product Details panel:

  1. Click the Details button for any product in your Schedule

  2. Select Download PDF from the bottom left of the panel


Exporting bulk product Spec Sheets

When you need detailed spec sheets for all products in your Schedule, you can generate them in one export package.

  1. Click the 3 dot menu in the top right corner of your Schedule

  2. Select Export as PDF

  3. Toggle off any fields you want to hide

  4. Check the box for Export with detailed product spec sheets

  5. Add Cover page notes if needed

  6. Click Export

  7. You'll receive an email with a download link (larger schedules may take a few minutes to process)

Note: Bulk spec sheet exports are emailed rather than downloaded immediately due to file size. Check your inbox within 5-10 minutes for larger schedules.
