Programa offers two ways to share your Schedule: publishing it to the web or publishing it to the Client Dashboard. This guide explains both methods so you can choose the right option for each situation.
Understanding Your Sharing Options
Publish to Client Dashboard provides a private, branded portal where clients can view multiple schedules and files in one place. This is ideal for ongoing client collaboration and offers more control over permissions.
Publish to Web creates a public link that anyone can access. This works well for sharing with contractors, vendors, or anyone who doesn't need full project access.
Important: Clients can only approve items through the client dashboard view.
Sharing via Client Dashboard
The Client Dashboard creates a branded portal where clients can access all schedules and files you've shared with them. You can control each client's permissions individually.

To publish your Schedule to the Client Dashboard:
In your Project Files list, click the three-dot menu next to your Schedule (or click into the Schedule)
Click the Share button
Toggle on Publish to Client Dashboard
Enter your client's email address in the provided field and click Add
Click the Access dropdown next to their email and select their access level
Repeat for additional schedules or clients
Working privately? Toggle off Publish to Client Dashboard to hide your Schedule while you work on it. Turn it back on when you're ready to share.
Sharing with a Public Web Link
The public web link stays automatically updated, ensuring recipients always see your latest changes.
To publish your Schedule to the web:
Open your Project and click the three-dot menu next to your Schedule (or click into the Schedule)
Click the Share button
Turn on Publish to Web
Toggle information fields on or off to control what recipients see
Click the box and arrow icon to preview your online Schedule
Click the page icon to copy the link
Send the link to your recipient
Note: To make your Schedule private again, toggle off Publish to Web. This deactivates the link and removes the "Public" status from your Schedule.
When a Schedule is published, you'll see "Public" with a green checkmark in the status column.
Using Presentation Mode
Clients can switch to Presentation Mode for a large-format, image-focused view of your Schedule.
To enable Presentation Mode:
Open the Schedule's live link or access it from the Client Dashboard
Click the four-square icon in the top right corner
Searching, Filtering, Sorting, and Exporting as a PDF
When accessing the shared schedule, your clients, contractors, or suppliers can easily search, filter and sort the view, and export the schedule as a PDF whenever needed.
Controlling What Information Shows
You can show or hide specific data fields in both sharing methods. When you hide a group, all related fields disappear from your Schedule.
Optional information fields:
View Supplier | Company name, sales rep, contact email, product URL |
View Brand | Product name, brand name |
View Pricing | Unit RRP, Total RRP, unit client price, total client price (calculated from trade price + markup) |
View Details | Notes, important information, attachments, custom specs |

Protecting your pricing: When Add Mark-up is enabled, clients see only RRP, savings percentage, and client price. Your trade price and markup percentage remain hidden. If Add Mark-up is disabled, clients can see both trade and retail pricing.
Frequently Asked Questions
Will my clients be able to approve or reject products using the Client Dashboard?
Yes, your clients can approve and reject products within your Schedule when you enable the Can Approve permission in your share settings.
Is it possible to hide specific information from my clients?
Yes, you can use the field toggle options in your share settings to show or hide different information fields. These controls work for both public web links and Client Dashboard shares.
Can different people on the same project have different Dashboard access settings?
Yes, you can set individual access levels for each client on the Client Dashboard. Each person can have different permissions for the same project.
Can I have different access levels for recipients of a public web link?
No, any changes made to access settings for a public web link will apply to all recipients of that link. If you need different access levels for different people, use the Client Dashboard instead.
Can I keep my Schedule private while I work on it?
Yes, you can hide your Schedule from all client dashboards by toggling off Publish to Client Dashboard. This allows you to work on it privately and switch it back on when you're ready.
What does the green checkmark next to my Schedule's "Public" status mean?
The green checkmark indicates that your Schedule has been published online and is accessible via a public web link. To make the Schedule private again, toggle off Publish to Web in the share settings.
Can I use my Client Dashboard to share with trades or contractors?
Yes, you can add your trade or contractor as a recipient by entering their email address in the Publish to Client Dashboard field and setting their access level.
Can clients see my trade pricing or markup percentage?
If you have turned on the Add Mark-up toggle, clients will only see the RRP, client savings percentage, and total client price. Your markup percentages and trade price will not show. If you haven't turned on Add Mark-up, clients will be able to see your trade price and retail price.
