Managing Referral Tracking in ProLine

Learn how to set up, track, and report on referrals in ProLine, including creating referral lead sources, managing contacts, and analyzing reports.

Any projects associated with the referred customer or contact, will be attributed to the referer.


Referral Tracking Setup

Referral tracking begins by creating and enabling referral lead sources.

  1. Navigate to referral settings: hamburger menu (☰) > Company Settings > Contacts > Lead Sources.

  2. Check the box for Referral under the appropriate lead source.

  3. Optionally, create multiple referral lead sources (e.g., customer referral, event referral) to track them separately.


Using Referral Tracking During Project Creation

When creating or editing a project, referral details can be added to a contact for accurate tracking.

  1. Go to Projects on the left side menu.

  2. Select an existing project or create a new one.
    Note: You'll only see the Lead Source field in a project when you are creating a new project. For existing projects, click on the main contact for the project.

  3. In the Lead Source field, choose a referral source (marked as a referral in your Company Settings).

  4. Enter the referring contact in the Referred By field. You can search for a contact by name.

  5. Save the changes to associate the referral with the contact.

This will track all projects associated with the referring contact, ensuring visibility of their contributions in the referral system.


Adding Referrals to an Existing Contact

  1. In an existing project, within Project Details, click on the project's main contact.

  2. Select a Lead Source from the dropdown menu.

  3. In the Referred By field, select or search for the contact that referred this customer.

  4. Click the Save button in the upper-right corner of the project's details page.


Automating Referral Tracking with the Project Portal

Referrals can also be tracked automatically using ProLine’s project portal.

  1. Each project has a unique, shareable link. To access it, navigate to Projects > Project Details. Scroll down until you see the Project Portal URL.

  2. Your customers can refer friends and family via the Refer Us tab in the portal by submitting their friends or family details.

  3. Submissions are automatically attributed to the referring contact and linked to the customer’s project.

ProLine plans to expand automation with web forms that include referral tracking, allowing customers to share links directly.


Generating Referral Reports

Referral reports in ProLine help analyze referral effectiveness and reward referrers. To view these reports, navigate to your Dashboard on your left-side menu.

  • Marketing Tab: View all referred leads. Click on a referrer to see associated projects.

    This can help you pay out referrals based on new leads.

  • Sales Tab: Track referred projects that have been won. Ideal for rewards based on sales completion.

    If you want to pay out referral based on won customers, this is the way to go.

  • Cash Flow Tab: Monitor closed referrals for which payment has been received. You may need to scroll down in the Cash Flow section to see these stats.

    This will allow you to visualize how to pay out referrals based on closed jobs.

You can export this data as a CSV file for further analysis. The exported file lists individual projects, which can be processed in Excel for more complex breakdowns.
