Company Settings: Projects - Custom Fields (Contacts & Text)

This guide walks you through what project custom fields are, how to configure them, and how they appear in your ProLine account.

Understanding Field Types

There are two main types of project custom fields:

1. Other Contacts

These fields allow you to define roles beyond the primary contact for a project, such as:

  • Spouse

  • Adjuster

  • Property Manager, etc.

By default, three contact fields are available:

  • Main Contact (non-editable)

  • Other Contact 1 (editable)

  • Other Contact 2 (editable)

You can rename Other Contact 1 and 2 to represent whatever role fits your workflow.

2. Custom Text Fields

These are flexible fields you can label and populate with project-specific information, such as:

  • Carrier

  • Policy Number

  • Claim Number

  • Deductible

You can also customize all 7 of these to suit your needs, for example using titles like the following:

  • Roof Color

  • Age of Roof

  • Previous Contractor

Note: Only the number of custom text fields you configure in Company Settings will appear in the project details. If you define four fields here, only those four will be visible in the actual project view.

Populating and Using Custom Fields in a Project

Once your fields are set:

  1. Go to any existing project.

  2. Click Project Details.

  3. You’ll now see the newly labeled contacts and custom text fields.

For example:

  • Contact roles might show as: Main Contact, Spouse, Adjuster.

  • Custom fields might appear as: Carrier, Roof Color, Age of Roof, etc.

Entering Data

  • Simply click into any field to enter the appropriate data.

  • For contact roles, begin typing a name to find an existing contact or create a new one on the spot.

  • When creating a new contact, you’ll also specify:

    • Contact Type

    • Lead Source

All changes are saved automatically.
