What is the Project Portal?

The Project Portal is a dedicated link you can share with customers, providing them with real-time access to project updates and important features. The last tab in the portal is titled “Refer Us”, which allows customers to submit referrals directly to your team.

Why It Matters

  • Simplifies the referral process—no more emails or texts.

  • Automatically routes referral information to your team.

  • Streamlines lead generation through your existing customers.

Configuring the “Refer Us” Tab

1. Referral Description Reward

  • Default Message: If the description/reward field is left blank in settings, a default message will be shown on the portal.

  • Custom Message: You can personalize this message by entering your own text and clicking Save.

  • Global Application: Changes made here will apply to all project portals.

Tip: Use this section to describe the referral reward your customers will receive, such as a discount or gift card.

2. Lead Assignment Options

When a new referral is submitted, you can control who on your team receives the lead.

Assignment Settings

  • Referrer’s Assignee: The lead is assigned to the main assignee of the referrer's original project.

  • Referrer’s Inside Sales: Assigns the lead to the inside sales team member linked to the referrer's project.

  • Other Team Member: You may manually select any team member to be the main contact for this new lead.

Choose assignment logic that aligns with your internal sales follow-up process.

3. Project Stage Configuration

Upon receiving a referral, you can designate which project stage the new lead should enter.

Available Stages Include:

  • New Lead

  • Inspection Scheduled

  • Creating Quote

  • Quote Sent

  • Any custom stage you’ve defined in your pipeline

This ensures the lead is placed at the correct point in your sales workflow from the start.

4. Campaign Assignment

You can specify which marketing campaign the referral should enter.

Options:

  • Speed to Lead Campaign: Recommended for quick response.

  • No Campaign: Opt not to launch a campaign and handle lead nurturing manually.

  • Stage Triggers: Utilize automated stage triggers for more complex workflows.

5. Lead Source Designation

  • The Contact Lead Source will always be marked as Referral.

  • This is a default and non-editable setting for all leads coming through the “Refer Us” portal.

Best Practices

  • Promote the Portal: Make sure customers know about this feature to maximize referral submissions.

  • Test Your Settings: After making changes, test by submitting a referral to ensure the correct team member, stage, and campaign are triggered.

  • Use Campaign Automation: Set up email sequences or call tasks to respond quickly to new referrals.
