Managing a Project: Project Portal URL

Locating the Project Portal URL

You can find the Project Portal URL within the Primary Details section of any project:

  • Navigate to the top bar of the project page.

  • Select the second option (Project Details) to access the Project Portal URL.

Important: Each project has its own unique URL. While the portal layout and tab structure are consistent across projects, the content is project-specific.

Understanding the Project Portal

When the contact opens their personalized Project Portal link, they’ll be greeted with a series of tabs that mirror key project areas. Anyone with the Project Portal link will have access to this info, allowing for the contact to share project information. Here’s what each tab includes:

1. Status Tab

The Status Tab is the first screen the customer sees.

  • Current Project Status: Displays the current status from your internal ProLine workflow (ex: Appointment Scheduled, Under Review).

  • Primary Contact Info: Shows the name of the primary contact for the project.

  • Assigned Representative: Includes the assigned ProLine team member’s:

    • Full Name

    • Company Name

    • Email Address

    • Phone Number

    • Profile Photo

Anyone with the Project Portal link will have access to this contact info, allowing for open communication with your team.

2. Events Tab

This tab provides a read-only view of the project’s calendar and scheduled events.

  • Calendar View: Displays all past and upcoming events.

  • Event List: Located next to the calendar, includes detailed info and status.

    • Color Coding: Events reflect the same color system used in your internal project Events tab..

3. Files Tab

This section allows customers to view important project files such as:

  • PDFs

  • Photos

  • Documents

Customers can:

  • Click to view files

  • Download items for their personal records

Access Control:

Only files marked as "Public" in ProLine will be visible on the portal. Private or restricted files will not be shown.

4. Quotes Tab

Customers can view all quotes that have been emailed to the primary contact.

  • Customers can:

    • View sent quotes

    • Download them

    • Access signed quotes for reference

  • Draft quotes for the project remain internal and are not visible.

This ensures they always have access to what they’ve reviewed and approved.

5. Subscriptions Tab

The Subscriptions tab gives customers full visibility and control over their recurring services.

From this tab, customers can:

  • View a summary of all their subscriptions, including their current status.

  • Track upcoming occurrences, payment statuses, and next event dates.

  • Change their payment method at any time. Note that only the customer can update their own payment method — your team cannot change it for them.

  • Pay invoices or retry failed payments directly from the portal using the "Pay Now" link on any failed occurrence.

  • Access payment receipts via the "View Receipt" link after a successful payment.

  • Cancel a subscription, if the subscription was configured as customer-cancellable.

6. Billing Tab

At the top of the Billing tab, customers see a financial summary of the project:

  • Total Project Cost

  • Current Amount Due

  • Already Paid

  • Balance Remaining

Below the summary, the Billing tab is split into two sub-sections:

a. Invoices

  • View all invoices (sent, unpaid, partially paid, or fully paid)

  • Ensures transparency around billing and due amounts

b. Payments

  • View all recorded payments

  • Includes payment type: Cash, Check, ACH, Credit/Debit, etc.

  • Shows payment dates and amounts applied to invoices

  • Customers can also make payments directly through this portal.

7. Refer Us Tab

This powerful tab enables the primary contact to submit referrals of friends, family, or neighbors.

  • They simply fill out a form with the referral’s name and contact info.

  • Must confirm the referral has consented to be contacted by your team.

  • Once submitted:

    • The referral is automatically tagged with “Referral”

    • The lead is instantly created in your ProLine system for follow-up

This is one of the most impactful tools for generating inbound leads and building trust-driven growth.

The Project Portal URL provides your clients with real-time access to:

  • Project status

  • Scheduling visibility

  • Shared documentation

  • Financial transparency

  • Signed quotes

  • Subscription management

  • Referral capabilities

It’s a powerful part of the ProLine platform that enhances communication, builds client trust, and streamlines project management.
