How to create, edit, and organize your ProLine messaging and automations campaigns.

Campaigns are the fundamental organizational unit for your ProLine contacts, they have various settings, features, and automations to help you keep your contacts appropriately informed as they progress through your sales process. Campaigns can be divided into different folders in order to help you stay organized.

How you divide campaigns between folders is totally up to you. For example, you might have a folder for “Sales” and another folder for “Production”. Alternatively, you might have a single folder for all “Roof Replacement” campaigns and then another folder for “Roof Repair” campaigns. There is no wrong answer, so organize your campaigns and folders in the way that makes the most sense to you.

Campaigns and contacts

All contacts in your account are divided into campaigns. Each campaign can be tied to a specific status or point in time for a prospect, and set up to send messages and updates to contacts accordingly. Common campaigns include “New Lead”, “Reroof Follow-up”, or “Signed Contract”. ProLine’s campaign automations are triggered by contacts being added to a campaign, so you can always know what automated messages a prospect is receiving by what campaign they are in.

IMPORTANT: Every contact in your ProLine account exists within a single campaign at a time. Contacts cannot be added to multiple campaigns simultaneously, nor can they exist in your account without being in a campaign. Because of this, many ProLine users will add a “Misc” campaign just to hold any contacts that don’t fit in their regular ones.

At the top, you can see your list of folders, ordered from left to right. Here, we have the sales follow-up folder selected.

Beneath that, you’ll see the campaigns in the selected folder, ordered from left to right. And within each campaign, you’ll see the contacts currently in that campaign.

Adding and removing folders

To create a new folder, select the hamburger menu in the top left and choose Campaign Setup. Here you’ll see all your existing folders and the campaigns in each folder. Then, scroll to the bottom of the page and select the gray Add New Folder bar. It’s a text field for naming the new folder. Type in the name of your folder, and then hit the + button to the right of the text field. This will create the new folder.

To remove an existing folder, select the pencil icon next to the folder you want to delete and choose the trash can icon.

Adding and removing campaigns

Navigate to Campaign Setup. Find the folder you’d like to modify and select the gray Add New Campaign bar. It’s a text field for naming the new campaign. Type in the name of your campaign, and then hit the + button to the right of the text field. This will add the campaign to the bottom of your folder.

You can also duplicate a campaign with all of its automations and settings. Select the pencil icon next to the campaign you want to duplicate and select the plus icon. This creates a carbon copy of the campaign at the bottom of the folder labeled "[Original Campaign Name] Copy". Select the campaign name and start typing to replace it with a more accurate title

To remove an existing campaign, select the pencil icon next to the campaign you want to delete and choose the trash can icon.

Modifying the order of folders on the campaigns page

When you first open ProLine, you’ll see the campaigns page. Here, you can see all your folder, campaigns, and which contacts are in what campaign.

Above the campaigns, you’ll see a list of your folders.

To change the ordering of the list, select the hamburger menu in the top left and choose Campaign Setup. Then, select the pencil icon on the folder you want to move. Up and down arrows will appear. Click them to move your folder through the list. Once you moved it to the right spot, hit the X button.

Modifying the order of campaigns in a folder

To change the ordering of the campaigns in a folder, select the hamburger menu in the top left and choose Campaign Setup. Then, select the pencil icon on the campaign you want to move. Up and down arrows will appear. Click them to move the campaign through the folder. You can even move a campaign into a new folder by simply moving it up or down out of the folder into the folder above or below it respectively. Once you’ve moved the campaign to the right spot, hit the X button.

Change the name of a folder or campaign

To change the name of a folder or campaign, select the hamburger menu in the top left and choose Campaign Setup. The names of all folders and campaigns on the Campaign Setup page are immediately editable simply by clicking on them and typing. Modify a name and then click away from it to automatically save it.

Modifying other campaign settings

To change settings regarding the appearance or behavior of a campaign, select the hamburger menu in the top left and choose Campaign Setup. Then, select the pencil icon of the campaign you want to make changes to. In addition to the Move, Duplicate, and Delete buttons, you will also see buttons for other campaign settings. Clicking any of these buttons will display a dialog explaining more about the setting and options for changing it.

Custom Delay

Turn on custom delay to enable a dialog box when contacts are manually moved into this campaign, which asks when the automations associated with the campaign should start. This custom delay overrides the default delay of the first step in the automation sequence associated with the campaign.

Campaign Snippet

Change the short string of information that displays under the names of contacts in this campaign. For example, instead of a contact’s address you might want to display when the next automation step for the campaign is scheduled to run for them.

Archive Campaign

Enable this setting to hide all contacts currently in the campaign and only display the number of contacts in the campaign instead. The campaign can be clicked on to reveal the hidden contacts. This setting is often used for campaigns such as “Lost Job” or “Paid & Closed”. Remember that ProLine contacts must always be in a campaign, so you'll have some campaigns that are just for holding contacts rather than for sending messages or automations.

Modifying a campaign's color

To change settings regarding the color of a campaign, select the hamburger menu in the top left and choose Campaign Setup. Then, select the square block of color to the left of the campaign name. This will bring up a dialog box that allows the color to be changed. Select a new color from the options.

Modifying a folder's color

To change settings regarding the color of a folder, select the hamburger menu in the top left and choose Campaign Setup. Then, select the pencil icon on the right side of a folder's colored area. Then, click the brush icon. This will bring up a dialog box that allows the color to be changed. Select a new color from the options.

Modifying a campaign's automation sequence

To modify the automation sequence associate with a campaign, go to the Campaigns page. You'll see a gear(s) icon in the upper right hand corner of each campaign. If there is a single grey gear, the campaign's automations are currently off. If there is multiple green gears, that means the campaign's automations are currently on. Click on the gear icon to view and edit the campaign's automation sequence. Click here for more details on how to create and make changes to campaign automations.
