Company Settings: Invoice Templates - Merchant Application

This guide walks you through what you need to know about configuring your merchant account settings from within your ProLine settings.

Accessing Merchant Application

  1. Click the hamburger menu (☰) in the top-left corner.

  2. Select Company Settings from the menu.

  3. Click Invoice Templates from the left sidebar.

  4. Scroll down to the Merchant Settings section in the middle of your screen. Your merchant account status will display here.


Application & Status

In order to accept payments through ProLine invoices, you must be approved for a merchant account. This application takes approximately 5 minutes to complete.

If you do not yet have a merchant account, the process starts with two steps:

  1. Submit GMB Profile Link — Before you can start the application, you'll be prompted to paste your Google My Business profile link. This helps our team verify your business. Enter your GMB URL and click Submit GMB Profile Link.

  2. Start Application — Once your GMB link has been submitted, click Start Application to begin the full merchant onboarding form.

Once you've applied, you can check your account status to see where you are in the process. The status will indicate one of the following:

  • Action Required — You need to update the information on your merchant account. You will receive an email notifying you that your account needs attention. To update it, navigate back to the Merchant Application section and click Update Application. You will be prompted to provide the required information.

  • Pending — Your application has been submitted and is under review. This usually takes less than 24 business hours. If it's taking longer, contact your account manager for more information.

  • Approved — Your merchant account is approved and in good standing. You can now accept and process online payments through ProLine.


Current Pricing Structure

The system provides a snapshot of the current processing fees:

Credit/Debit Card Fees

  • Transactions: 3.20% + $0.25

  • Refunds: $0.25

  • Disputes: $25.00

ACH/E-Check Fees

  • Transactions: 0.5% (up to $50.00)

  • Refunds: $0.25

  • Returns (Bounces): $10.00

  • Disputes: $25.00


Filling Out the Application

The Merchant Application is divided into 6 steps. If you have previously completed other sections of your ProLine setup, some fields may pre-populate.

⚠️ Important Note: Processing volume and transaction projections should be conservative and should only include ACH and card payments — do not include revenue from cash or physical checks. Larger than average projections may require additional verification and documentation steps.

Step 1 — Merchant Onboarding

  1. Enter the First Name and Last Name of the business owner or main point of contact for merchant notices.

  2. Enter the Business Email for this person.

  3. Select the appropriate Organization Type from the dropdown.

Click Next step to continue.

Step 2 — Your Business Details

  1. Enter your Business Legal Name exactly as it appears on your LLC articles or articles of incorporation. This must end with "LLC," "INC," or an equivalent.

  2. Enter your Business DBA (Doing Business As) if applicable. Note that the DBA may be displayed publicly, whereas the legal name will not.

  3. Enter your Tax ID (EIN/Employer Identification Number), ensuring it is 9 digits.

  4. Enter your Customer Service Phone Number.

  5. Enter your Website URL. The website must begin with HTTPS and should match the DBA listed. If your site is still under construction, make sure it at least displays a message such as "Site under construction" so our risk team can confirm it exists. If your business does not have a website, check the Business does not have a website box.

  6. Select your MCC (Merchant Category Code). By default, ProLine accounts are set to Roofing, Siding, and Sheet Metal (1761). Change this if needed to best match your business category.

  7. Enter your Estimated Payment Activity. Only include amounts you expect to process by card or ACH — not total business revenue:

    • Average single payment amount — your typical payment per transaction.

    • Maximum single payment amount — the largest single payment you expect to receive.

    • Total average monthly payments — your expected total monthly processing volume.

💡 Keep these numbers accurate and realistic. Submitting inflated estimates increases the risk assessment of your merchant account and may prompt our team to request supporting documentation.

Step 3 — Your Business Address Information

Enter your business address, including Street Address, Country, City, State, and ZIP/Postal Code. Make sure the address matches the primary place of business shown on public records such as your website or Google My Business.

Step 4 — Enter Your Representative Details

Enter the details of the primary representative for this merchant account. This is typically the business owner. You will need to provide:

  • First Name and Last Name

  • Date of Birth

  • Social Security Number

  • Email and Phone Number

  • Full Address (Street, Country, City, State, ZIP/Postal Code)

💡 Any owners holding 25% or more of the business must also be listed on the application. If applicable, you will have the option to add additional owners with their full details and ownership percentage (supports up to 4 owners).

Step 5 — Your Funds Will Be Deposited To

Connect the bank account where your payments will be deposited. We recommend using the Connect with bank login option for speed and accuracy. You may also enter your routing and account numbers manually, but incorrect banking information or additional verification steps for manual entry can cause delays.

💡 For small banks or credit unions, a voided check may be required for verification. We'll reach out if that's the case.

Step 6 — Review Your Information

Review all the information you've entered across each section: General, Business, Address, Representative, and Bank Account. Click Review next to any section to go back and make corrections.

Once everything looks correct, agree to the terms, confirm, and submit your application.


Submitting the Application

Merchant applications typically receive approval within one to two hours during business hours, allowing you to start invoicing and collecting payments promptly.

Once approved, the billing page will update to display upcoming deposits and transaction statuses, giving you a detailed view of your payment activity through ProLine.


Updating Your Bank Account

⚠️ You cannot update your bank account details directly within your account. Whether your application has been approved or is still under review, you must contact Support to request any changes. Our team will update your bank information once you provide one of the following: a bank letter, a voided check, or a bank statement.
